JOB SUMMARY: AHA's Phlebotomy Supervisor is responsible for the daily supervision and operations of the Phlebotomy Department, which includes the daily operation and duties of Phlebotomists in and outside our main laboratory. The Phlebotomy Supervisor must perform, train, and monitor all functions within the Phlebotomy Department to ensure timely service to our clients and their patients.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Draw blood and/or obtain other specimens as requested at regularly assigned nursing homes as part of the morning schedule (2:00 AM to 8:00 AM);
  • Deliver specimens to lab or courier as scheduled;
  • Be available to be on the STAT/On-Call rotation as needed (AHA provides 24/7 service);
  • Provide back-up as needed;
  • Supervise the Phlebotomists assigned to service the accounts in designated area;
  • Assign Phlebotomists to Nursing home routes based on location, average number of patients to be seen, and availability;
  • Assign Courier to pick-up specimens as per strict schedule to ensure delivery of specimens within the required turnaround time;
  • Visit clients at the facilities within the assigned area to make sure that the Phlebotomists are fulfilling their assigned duties, the logs are being completed accurately and on a timely basis, necessary phlebotomy supplies are available;
  • Provide routine customer service to the accounts;
  • Respond to the facilities' concerns regarding issues or problems that arise from work performed by a member of the Phlebotomy team;
  • Review the client's concerns and respond appropriately;
  • Escalate unresolved issues to the next level as needed;
  • Must provide proof of ownership or unrestricted use of a safe, dependable, duly registered automobile;
  • Must provide proof of insurance and in the suggested coverage amounts (Agreement to Use Personal Vehicle: $100,000/$300.000/$100,000) annually or as requested;
  • Must maintain a clean driving record, which will be checked annually;
  • Responsible for all aspects of reviewing, approving, and submitting phlebotomy payroll biweekly;
  • Prepare the required paperwork.

SUPERVISORY RESPONSIBILITIES:

  • Obtain authorization approval for new hires;
  • Conduct interviews, submit all applications, interview checklists, etc. to HR at the Corporate Office;
  • Discuss final candidate with Regional Director and HR Manager before going forward;
  • Once approved, instruct the candidate to complete pre-employment paperwork, including background screen;
  • Obtain authorization from HR before extending a job offer;
  • Once applicant is cleared for hire, communicate with HR to complete all required pre-employment tasks;
  • Coordinate and conduct all required new hire training for the Phlebotomy team;
  • Conduct mandatory monthly team meetings;
  • Administer the disciplinary process as per the company's guidelines which include: Verbal counseling; Written Warning, Final Warning and Termination of employees.

Requirements

REQUIREMENTS:

  • Must be able available to work a flexible schedule that can change from day to day that includes regularly assigned schedule (typically 2:00 AM to 8:00 AM) usually six days a week and adjusting as needed when other phlebotomists are unable to work their shifts or when assigned to STAT/On-Call status;
  • Must be able to drive both short and long distances during all types of weather as required to complete assigned schedule; provide back up when needed; and deliver specimens to lab and/or courier based on location and/or time constraints; meet with employees as necessary;
  • Must be able to walk a lot during a regular shift as it requires visiting several facilities during the assigned shift as well as walking to and from the patients' rooms within the facilities;
  • Must be able to carry the phlebotomy supply bag which may weigh 5 to 15 pounds depending on Phlebotomist's assessment of what supplies are needed during the shift;
  • Must have access to a mobile phone with texting capability 24/7.

Other duties may be assigned as necessary based on business needs to meet the client's

requirements.


QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty competently. The requirements listed below are representative of the knowledge, skill and/or ability required:

  • High School Diploma or GED;
  • Training as a Phlebotomist from an accredited institution;
  • Minimum of three years working as a Phlebotomist, preferably working with seniors;
  • Minimum of three years of supervisory experience in a healthcare environment;
  • Ability to complete required forms (both internal and external); prepare reports (both internal and external); communicate using e-mails, phone, and/or e-mail must have a valid state issued driver license, reliable car, and be insured.

EDUCATION AND EXPERIENCE:

  • High School Diploma or GED; Minimum three years clinical Phlebotomy experience as a Phlebotomist; minimum two years nursing facility draws preferred; Minimum of three years of supervisory experience, preferably in a healthcare environment; Participates in continuing education and competency testing programs to ensure that phlebotomy and professional standards are met.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Must maintain a valid driver's license from the state where the primary work is performed. Phlebotomy Certification from an accredited training school or equivalent, required.

LANGUAGE SKILLS:

  • Ability to speak English so others will be able to clearly understand a normal conversation, both in person and on the telephone. Must be able to read, write and complete pertinent documents in English.

MATH SKILLS:

  • The Phlebotomy Supervisor is responsible for ensuring that the Phlebotomy payroll (worked/route pay/mileage) is complete, accurate and honest. It is the Phleb Supervisor's responsibility to submit payroll documentation timely and in accordance with company policy.

COMPUTER SKILLS:

  • Must be proficient: Excel, Microsoft Office and PowerPoint.

Education and Experience: Minimum requirements for education and experience for this position.

  • High School plus specialized training (min. 6 mos.-2yrs.)
  • 1 to 2 years of experience

TRAVEL REQUIREMENTS: Responsible for maintaining personal vehicle and keeping it operational always. Phlebotomy Supervisors are required to: use their own personal vehicle to transport specimens; provide proof of current automobile insurance in the suggested coverage amounts ($100,000/$300,000/$100,000) required; must maintain a clean driving record, which will be checked annually.
