Facility Manager

PHD Services is seeking a highly motivated Facility Manager to serve as the primary on-site representative supporting one a corporate facility in Chicago's downtown loop business district. This individual will act as the single point of contact for all facility-related operations, ensuring an exceptional workplace experience through outstanding customer service, proactive communication, and effective project coordination. The ideal candidate is organized, customer-focused, and capable of balancing day-to-day facility operations while managing multiple projects and vendor relationships in a fast-paced corporate environment.

Key Responsibilities
  • Serve as the primary on-site contact for all building, office, and workplace service requests.
  • Represent PHD Services professionally while delivering exceptional customer service to employees, visitors, and client leadership.
  • Build strong working relationships with executive assistants, business leaders, building occupants, and client stakeholders.
  • Coordinate facility improvement projects from planning through completion.
  • Manage subcontractors, ensuring quality work, schedule adherence, and compliance with client expectations.
  • Coordinate office moves, furniture installations, workspace changes, and equipment relocations.
  • Oversee food and beverage inventory, ordering, stocking, and conference room support.
  • Provide first-level support for conference room technology, including audio/visual equipment, connectivity, and meeting room readiness.
  • Coordinate with internal IT teams to support technology-related facility requests.
  • Schedule and coordinate conference rooms for visiting employees and guests.
  • Coordinate preventative and corrective maintenance activities with building engineering and service vendors.
  • Track facility issues through completion and provide timely communication to stakeholders.
  • Maintain accurate records for facility projects, vendor activities, and operational requests.
  • Participate in after-hours or emergency response activities when necessary to support business continuity.
Qualifications
  • 3+ years of experience in facility management, workplace services, property management, or a related field.
  • Strong customer service mindset with excellent verbal and written communication skills.
  • Experience managing vendors, subcontractors, and facility improvement projects.
  • Ability to prioritize multiple tasks while maintaining attention to detail.
  • Working knowledge of commercial building operations, maintenance coordination, and workplace services.
  • Experience supporting conference room technology and basic audiovisual troubleshooting.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
  • Experience with AutoCAD or space management software is a plus.
  • Ability to lift and move office furniture, equipment, and supplies up to 40 pounds.
  • Ability to work independently with minimal supervision while maintaining a high level of professionalism.

Pay: $90,000-$110,000 annually
