Job description

Executive Assistant/ Personal Assistant

● Full executive calendar management — protect time, prioritize, reschedule proactively

● Handle correspondence, meeting prep, agendas, follow-ups, and deadlines

● Assist with operational projects across multiple entities

● Track invoices, payables, expenses, renewals, and recurring obligations

● Light bookkeeping support (QuickBooks/Acumatica familiarity preferred)

● Manage working relationships with vendors, professional partners, and civic organizations

● Help manage involvement in philanthropic, nonprofit, and charity initiatives

● Prepare presentations, reports, and communications on behalf of the executive

Serve as primary organizer and coordinator of home needs

● Oversee all house vendors (maintenance, landscaping, cleaners, repairs)

● Manage deliveries (FedEx, UPS, Amazon) and returns

● Schedule home appointments: repairs, service, insurance reviews, warranties, etc.

● Run personal errands, grocery runs, and shopping as needed

● Source and manage vendors for organization projects (garage, pantry, rooms)

● Help maintain an orderly household calendar (appointments, school, events)

● Assist spouse with task lists, scheduling, and project follow-through without inserting into email streams

● Send daily reporting + tomorrow’s plan, clearly and concisely

● Support event and party planning — get best pricing, maximize value

● Support family and office remotely when travelers are out of state
