What You'll Do:
Provide service and support to the Central Service team as well as welcome any and all visitors by ensuring they have the proper gear and site-specific training needed to perform work on site and are compliant with company vendor requirements. This position will ensure that all department workforce is supported with the parts and supplies needed to perform their assigned projects. Other added duties may be assigned to align with company changes.
Responsibilities
JOB ACCOUNTABILITIES:
1. Timecards -Enter employee punches and time transfers for the prior day activity. Provide an exception report to all department managers of employees missing timesheets or meal penalties. (This process should be completed first thing in the morning). Timecard corrections should be handled promptly by communicating and taking guidance from the payroll department and as soon as a pay issue is identified. Department and office manager should be notified as well.
2. Requisitions - Process requisitions for parts and supply orders using the vCommerce online catalogue. All orders should be coded with the appropriate account or project or communicate missing information to the requisitioner.
3. Requisition Approvals - Communicate needed approvals to the appropriate manager to move a requisition to a purchase order status. This may include an email and follow up phone call to ensure the order is able to be placed.
Note: Communicate to both the manager and POA any orders involving an expense coded to a plant and should include: vendor, item/s, cost and description of the order and contact
4. Purchase Orders - Provide timely purchase order numbers to the vendor and requisitioner, as well as an estimated delivery date for the expected item/s.
5. Shipping and Receiving - Packing slips are to be received in the vCommerce system daily and items received should be delivered to the proper staging area within each department.
6. Safe Zone - The area intended for use as the safe zone should be kept clear of any items delivered by vendors
7. Credit Card Account Coding - Credit card purchases using P Card should be kept to a minimum and follow the procurement department guidance when making purchases outside of national alliance vendors. Credit cards should be reclassed and verified to avoid costs hitting a Central Service department
8. Travel & Entertainment - Coordinate hotel arrangements for hourly non-union and union employees for overnight stays and provide confirmation numbers and hotel details to manager, office manager and foreman in advance and prior to employee check in. Process all posted transactions by reclassing and coding to the correct account, routinely and timely throughout the month to maintain budget expectations by Central Service groups.
9. Outside Services - Call for pickup of scrap metal, used oil, universal waste, batteries and other needed services
10. Track Per Diem - Track and maintain overnight stays by hourly workforce for Per Diem meal payments throughout the month. To be submitted no later than the first week of the month.
11. Perform fire extinguisher, AED and eye wash station inspections once per month to inspect for proper operation and last service dates
12. Participate in weekly safety meetings
13. Run errands as needed
14. Maintain office records in accordance with the accounting retention policy
Skills You'll Need:
Experience. Experience in bookkeeping, accounting, or related experience is preferred.
Knowledge of Accounting Principles. Must possess a fundamental understanding of accounting principles and knowledge of standard office practices, procedures, and use of office equipment.
Technology Skills. Must be able to use computers, cell phones, and other electronic devices. Must have appropriate typing skills and a thorough understanding of Microsoft Word and Excel.
Integrity. Must act with integrity and honesty in business transactions, promote company policies, and hold oneself and other employees accountable.
Interpersonal Skills. Must have ability to maintain satisfactory customer relations. Must be able to work independently and make decisions while providing excellent customer service by phone and in person. Must have outstanding communication skills and can interact well with people at all levels of the organization.
Time Management Skills. Must have ability to plan ahead to effect timely product delivery according to schedule, work at a fast pace, and prioritize work. Must be able to handle multiple tasks concurrently and work well under pressure.
Driving Skills. Valid driver's license is required.

Hourly Range. The base hourly range for this role is between $25.00 - $31.00 per hour. This range is not inclusive of our discretionary bonus or equity package. When determining a candidate's compensation, we consider a number of factors, including skillset, experience, job scope, and current market data.
