Our client, a well-established (midsize) PE firm is seeking a highly organized and professional Executive Assistant to support high level MD on their Investor Relations team. This role requires strong administrative skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and has exceptional communication skills. This role is in-office daily Monday through Friday. Itโ€™s a great opportunity for an experienced Executive Assistant to join a dynamic investment firm, work closely with seasoned peers, and provide critical support to a high-performing team. The firm offers a collaborative work environment and opportunities for professional growth. This candidate must be out of Investor Relations at a financial services firm, preferably PE firm.

RESPONSIBILITIES:

  • Provide comprehensive administrative support to multiple executives, handling a range of tasks with professionalism and efficiency.
  • Manage calendars, schedule internal and external meetings, coordinate logistics, and prepare materials.
  • Arrange and coordinate complex business travel across multiple locations, ensuring seamless itineraries and handling expense reimbursements.
  • Maintain files, correspondence, and confidential documents, ensuring accuracy and organization.
  • Screen and prioritize calls and emails, responding with good judgment and discretion.
  • Support compliance reporting requirements for executives as needed.
  • Collaborate closely with other Executive Assistants and administrative staff to ensure smooth operations across the firm.
  • Step in to assist when other EAs are out of the office or need additional support.
  • Take on ad hoc projects and special assignments as required.

REQUIREMENTS:
  • Professionalism, maturity, and sound judgement when handling sensitive information.
  • Ability to multi-task, prioritize deadlines, and work efficiently under pressure in a fast-paced environment.
  • Strong communication skills, both written and verbal, with a high level of responsiveness.
  • Exceptional attention to detail and accuracy in all work.
  • A team-oriented mindset, eager to support others and contribute to the firmโ€™s success.
  • Self-motivated with a proactive, can-do attitude โ€” willing to take initiative and go above and beyond.
  • Comfortable adapting to changing priorities and working with different leadership styles.
  • Bachelorโ€™s Degree preferred.
  • 5โ€“7+ years of experience supporting executives in a fast-paced corporate environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

HOURS:

8:30 a.m. โ€“ 5:30 p.m.; Monday through Friday

SALARY:

$100โ€“130K base + bonus and benefits
