The Position:

The Missions Support Specialist supports the mission of West End Community Church by strengthening the execution and organization of the Missions Department. This role ensures the effective and efficient operation of local and global missions efforts so that ministry leaders can focus on partner care, volunteer mobilization, and strategic development.


The position provides administrative, organizational, and relational support, helping maintain clear systems, effective communication, and consistent follow-through across all missions initiatives. This role plays a key part in supporting a culture of excellence, clarity, and care for staff, volunteers, and ministry partners.


Reports to: Director of Missions

Works closely with: West End Missions Team, Operations, & Facilities

Hours: Monday – Friday (full-time, in-person)


Responsibilities:

  • Support the Missions Department through clear, consistent, and reliable administrative execution
  • Ensure strong organization, communication, and follow-through across all missions initiatives
  • Maintain accurate and actionable systems for tracking partners, volunteers, and ministry activity
  • Report on key data, including budgets, expenses, and engagement metrics, to support informed decision-making
  • Provide proactive support so ministry leaders can focus on relational and strategic work
  • Contribute to a culture where partners, volunteers, and staff feel supported and cared for


Departmental Support

  • Provide administrative support to the Director of Missions and Missions Coordinators
  • Maintain accurate records for partners, volunteers, and departmental tracking systems
  • Assist with budget documentation, expense tracking, and reimbursement processes
  • Track and report on key data, including ministry results and engagement metrics
  • Anticipate needs and proactively support departmental priorities


Calendar Management & Scheduling

  • Coordinate calendars, meetings, and ministry events
  • Manage logistics for internal and external meetings, including hospitality, meals, and offsite needs
  • Ensure timely follow-up on priorities and scheduling needs


Events & Correspondence

  • Serve as a point of contact for missions-related communication, responding appropriately in a timely manner
  • Manage emails, reports, and correspondence
  • Assist in preparing materials for missions initiatives and events, including agendas, materials, and presentations
  • Take notes and track follow-up action items
  • Support logistics for trainings, events, and ministry gatherings


Travel & Trip Support

  • Assist with travel coordination, itineraries, and documentation for mission trips
  • Support trip preparation in partnership with ministry leaders
  • Maintain organized records and assist with related expenses


Qualifications:

  • Bachelor’s degree or equivalent experience preferred
  • Minimum 3 years of experience in an administrative or operational support role
  • Strong organizational skills and attention to detail
  • Clear and professional written and verbal communication
  • Proficiency in Microsoft Office and productivity tools
  • Ability to manage multiple priorities and deadlines with consistency
  • Proactive, dependable, and solution-oriented
  • Trustworthy and able to maintain confidentiality
  • Warm, professional, and able to relate well to a variety of people with diverse backgrounds
