Job Description

  • Serve as the primary entry point for patients, visitors, and families entering USA Health clinics.
  • Demonstrate service excellence in all interactions and support the Care Access Department.
  • Perform day-to-day clinic workflow functions, including:
    • Patient registration, check-in, and discharge activities.
    • Scheduling appointments and coordinating ancillary/follow-up appointments.
    • Providing initial patient-facing triage.
    • Verifying and updating registration information.
    • Scanning health record documents.
    • Collecting time-of-service payments.
  • Employ excellent customer service skills to ensure smooth patient flow.
  • Review clinic schedules daily and follow proper check-in and discharge protocols.
  • Obtain patient demographic and insurance information in line with registration standards.
  • Provide general patient services by:
    • Responding to needs and concerns appropriately.
    • Investigating complaints and collaborating with the office manager for solutions.
    • Collecting co-payments, prior balances, and other necessary payments.
  • Run end-of-batch processes and support additional Care Access responsibilities (e.g., pre-service functions).
  • Manage EligibilityPlus work list, TeleVox reports, and cancellation/wait list callbacks.
  • Schedule follow-up appointments consistent with patient needs and clinic guidelines.
  • Provide discharge paperwork and instructions as needed.
  • Maintain accurate system records for canceled/rescheduled appointments.
  • Answer general telephone inquiries professionally and courteously, directing calls as appropriate.
  • Communicate information on USA Health programs, insurance, parking, and directions to patients, agencies, and the community.
  • Assist in orienting and training new Care Access Associates.
  • Stay current with clinic communications by reviewing email daily.
  • Maintain a safe and welcoming physical environment; notify leadership of supply or form shortages.
  • Sort and distribute faxes and mail daily.
  • Ensure office equipment functions properly and report malfunctions as needed.
  • Use online resources according to clinic practice and USA Health guidelines.
  • Maintain regular and prompt attendance; work defined schedule and overtime as required.
  • Perform related duties as assigned.

Qualifications

  • Based in Baldwin County strongly preferred
  • High school diploma or equivalent.
  • Minimum of one year of clerical experience in an access center, customer service, or healthcare setting.
  • Experience with Electronic Medical Records (preferred).
  • Higher level of education (as approved and accepted by the University of South Alabama) may substitute for required experience.
