Job description

Position: Patient Services Specialist (Temporary)
Department: Albizu Clinic
Location: Miami Campus (On-Campus)

MAIN FUNCTION
The Patient Services Specialist serves as the first point of contact for patients, students, and visitors at the clinic, providing a welcoming and professional experience while supporting efficient front desk operations. The position is responsible for patient intake, appointment scheduling, administrative support, and customer service, while maintaining accurate and confidential records.
REQUIREMENTS:
  • Associate's degree required; Bachelor's degree preferred.
  • 1-2 years of experience in a receptionist, front desk, or administrative support role, preferably in a healthcare or educational setting.
  • Excellent customer service and interpersonal communication skills.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to handle a high volume of calls, inquiries, and visitors in a professional and courteous manner.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Ability to maintain confidentiality and handle sensitive patient and administrative information appropriately.
  • Proficiency with standard office technology and computer applications; experience with Electronic Health Records (EHR) systems preferred.
  • Bilingual proficiency in English and Spanish preferred based on the communication needs of the patient population served.
RESPONSIBILITIES:
  • Greet and assist patients, students, and visitors in a friendly and professional manner, creating a welcoming first impression of the clinic.
  • Answer and direct phone calls, respond to inquiries, and schedule appointments while effectively managing front desk traffic.
  • Maintain an organized and welcoming reception area and support efficient patient flow and waiting room operations.
  • Process patient intake forms, verify insurance information, and maintain accurate and confidential information in Electronic Health Records (EHR) and other systems.
  • Assist with billing and insurance verification processes and respond to related patient and family inquiries.
  • Perform data entry and maintain accurate, complete, and up-to-date records and documentation.
  • Facilitate communication between patients, students, clinic staff, and external stakeholders to ensure timely and effective information exchange.
  • Prepare and send appointment reminders, correspondence, and follow-up communications as needed.
  • Provide general administrative and clerical support to ensure the efficient operation of the clinic's front desk.
  • Maintain confidentiality and comply with university policies, clinic procedures, and applicable requirements related to patient information.
  • Perform other duties as assigned by the Director of the Clinic.
