This is a part time, fixed term position of nine months at no more than 20 hours a week, with some availability during regular office hours of Monday - Friday 8:00am - 5:00pm MT. This position will not work the week of November 23rd - November 27th, or December 21st, 2026 - January 4th, 2027.

The Part-Time/Temporary Degree Progress Specialist provides administrative and analytical curriculum and degree audit review support to the Assistant Registrar for Academic Progress. This role focuses on ensuring the accuracy and consistency of students' academic progress through degree audits. This will include auditing student records, manually process exceptions, and identifying discrepancies using the university catalog. The Degree Progress Specialist works collaboratively with undergraduate departments, the curriculum team, and other Registrar functional areas. This position may also review and assist with Graduate School curriculum and degree audits as needed.
This position supports institutional efforts to maintain clear, well-documented, and systematized academic records, ensuring accurate data and will work with team members in the University Registrar's Office, curriculum contacts, and other campus partners whose roles contribute to the development of the academic offerings.

Responsibilities

  • Assist with data and transcript analysis, including progress testing, review, reporting, and troubleshooting.
  • Perform data validation and quality assurance checks on degree audit records migrated to the new degree audit system verifying program requirements, course completion, as well as manual entry of exceptions.
  • Maintain records of data anomalies and actions taken during review contributing to a shared record used for tracking and auditing purposes.
  • Collaborate to review and reconcile student records, including identifying records with incomplete, inconsistent, or non-standard data.
  • Assist with processing exceptions, petitions, and waivers within the degree audit system.
  • Assist the Senior Assistant Registrar for Graduate Records with administrative and analytical curriculum review as needed. This may include monitoring, reviewing, and updating graduate program requirements to ensure accurate content, consistent formatting, and publication across institutional platforms and websites.
  • Help resolve curriculum related issues and discrepancies.
  • Support continuous improvement efforts related to curriculum processes, data quality, and operational workflows.
  • Performs other duties as assigned.

Minimum Qualifications

Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience) plus one year directly related experience . Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

  • Experience working in a registrar's office or higher education administrative environment.
  • Demonstrated knowledge of student records management and academic policies.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.

Preferred
  • Experience using Stellic or similar degree audit and academic planning tools.
  • Familiarity with academic policies and degree requirements.
  • Experience with curriculum management or academic catalog.
