Job Summary:

The Front Office Receptionist will be responsible for accurate and timely patient registration utilizing medical systems. This individual will also use facility medical necessity tools to verify appropriate patient insurance coverage. The role requires adherence to established policies and procedures while delivering exceptional customer service to physicians, patients, family members, and other medical professionals.

Essential Duties and Responsibilities:

  • Greet patients and visitors in person or via phone, answering inquiries or directing them as necessary.
  • Record patient arrivals in the Practice Management System (EMR).
  • Verify patient identity by date of birth and name, creating new accounts as required.
  • Prepare required patient paperwork prior to appointments.
  • Contact patients with “No Show” appointments to reschedule and document accordingly.
  • Schedule appointments to optimize patient satisfaction, provider time, and treatment room usage.
  • Assist in emergency situations by responding to patients in distress with sound judgment.
  • Maintain accurate patient information in the Practice Management System (EMR).
  • Verify insurance eligibility and financial status, providing updates to the Billing Department if prior authorization is needed.
  • Ensure the reception area remains clean and organized.
  • Process patient copays and balances at check-in/out while maintaining confidentiality of personal and financial information.
  • Follow operational policies and procedures, reporting changes as necessary.
  • Contribute to team efforts to achieve related results.
  • Exhibit superior customer service skills consistently.
  • Answer phones promptly and courteously.
  • Communicate with patients, visitors, providers, and coworkers in a professional manner.
  • Perform other duties as assigned by the Practice Manager or Area Practice Manager.

Requirements

  • High School Diploma required; Associate's Degree preferred.
  • 1 year of customer service experience in a healthcare office preferred.
