What is a parttime receptionist?

Part-time receptionists are administrative professionals who work fewer hours than full-time staff, typically covering the front desk or reception area. Their main duties include greeting visitors, answering phone calls, handling inquiries, scheduling appointments, and performing general office tasks. Part-time receptionists are essential for maintaining smooth office operations during specific times of the day or week, often providing flexibility for both employers and employees.

What are the key skills and qualifications needed to thrive as a parttime receptionist?

To thrive as a Parttime Receptionist, you need excellent organizational abilities, basic computer skills, and a high school diploma or equivalent. Familiarity with office software (like Microsoft Office), phone systems, and scheduling tools is commonly required. Strong interpersonal skills, professionalism, and the ability to multitask make someone stand out in this position. These skills and qualities ensure smooth front-desk operations, positive first impressions, and efficient communication within the workplace.

What are some common challenges faced by parttime receptionists, and how can they be managed?

Part-time receptionists often face challenges such as managing busy front desks during peak hours, quickly adapting to different shifts, and effectively communicating important information between team members. To manage these, it's helpful to stay organized, use clear documentation techniques, and ask coworkers for updates at shift changes. Building good relationships with full-time staff and maintaining open communication can also help ensure consistency and smooth transitions.

At Arbors/Ivy, the front desk isn’t just a desk — it’s the heartbeat of our community. We are family-oriented and committed to family-centered aging through generations. We lead with integrity, care, compassion, and teamwork. We believe in collective ownership — standing together and doing whatever it takes to deliver excellence for our residents and their families.

If you light up when someone walks through the door…
If you’re cheerful, steady, and genuinely glad to see people…
If you can warmly greet someone — and still keep the day moving with focus and efficiency…

We want to meet you.

About the Role

As our Receptionist, you are the first impression and lasting impression. You are the face of the community.

You’ll welcome residents, families, guests, and vendors with warmth and professionalism — creating an immediate sense of comfort and trust. You enjoy conversation and connection, but you also know how to gently guide interactions so you can stay on top of calls, details, and responsibilities.

  • Record and relay messages with high attention to detail
  • Assist residents with scheduling services and coordinating requests
  • Support resident activities and events in lobby areas
  • Maintain and update resident directories and office documentation
  • Handle emergency situations calmly and appropriately
  • Support the team with a “whatever it takes” attitude

You will be trusted to keep things moving — without getting lost in long conversations or distractions. Our residents deserve your warmth, and our team depends on your follow-through.
