Job description

The Weekend Ward Clerk is responsible for providing clerical and administrative support to the nursing department to ensure efficient operation of the nursing unit. This position serves as a communication liaison between residents, families, nursing staff, physicians, and other departments while maintaining accurate records and supporting quality resident care. The Ward Clerk is not responsible for providing direct resident care.

Essential Duties and Responsibilities
  • Answer and direct incoming telephone calls professionally and courteously.
  • Greet visitors, residents, families, and staff in a friendly and professional manner.
  • Maintain resident charts, medical records, and nursing station files in accordance with facility policies and HIPAA regulations.
  • Prepare, organize, and file nursing documentation and reports.
  • Transcribe physician orders as directed by licensed nursing staff.
  • Process admissions, transfers, discharges, and census information as assigned.
  • Monitor and maintain nursing station supplies and forms.
  • Schedule appointments and arrange transportation for residents when required.
  • Communicate messages accurately and promptly to nursing staff, physicians, and other departments.
  • Assist with data entry and electronic medical records (EMR) documentation.
  • Prepare reports, logs, and other administrative documents as requested.
  • Maintain confidentiality of resident and facility information at all times.
  • Assist nursing management with clerical tasks and special projects.
  • Follow all facility policies, procedures, and infection control guidelines.
  • Perform other duties as assigned by the Administrator, Director of Nursing, or designee.
  • High school diploma or GED required.
Experience
  • Previous clerical, receptionist, healthcare, or long-term care experience preferred.
  • Experience with electronic medical records preferred.
Skills and Abilities

  • Proficiency in Microsoft Office and basic computer applications.
