Job description

*** Part- Time 25 Hours Per Week, Monday- Thursday 9:00 A.M.- 12:00 P.M. & 1:30 P.M.- 3:30 P.M. Fridays as needed, Starting Rate $16.00 Per Hour, Bilingual Preferred***

Summary/Primary Purpose: Coordinate all services of corps Social Services office, including seasonal services, in coordination with the Corps Officer(s)

Essential Duties and Responsibilities:

  • Answer phones, direct calls, and maintain office filing system.
  • Intake all clients requesting services, by phone or in person.
  • Maintain appointment calendar for all requests for service.
  • Determine need and provide emergency material assistance and/or referral, if applicable.
  • Maintain database for Hygiene Pantry clearinghouse.
  • Maintain casework database with client information and any necessary documentation.
  • Facilitate client grievance procedures.
  • Supervise hygiene pantry, including cleanliness, stocking of shelves and training of volunteers.
  • Maintain hygiene pantry inventory and report to Corps Officers
  • Christmas Sign Up /Distribution
  • Responsible for acquiring and oversee all volunteers for intake and distribution of services. Maintain volunteer database. Perform other Christmas duties as assigned by Corps Officer(s)
  • Per grant funding, and direction of Corps Officer(s), order fans for Summer Fan Program and coordination of pickup. Submit grant request and/or receipt for reimbursement of fans.
  • Secure volunteers to assist with collecting, packing and distribution of school supplies for Back-to-School program.
  • Receive and hang coats in designated area. Separate out all new coats, hats and mittens for Corps Officer(s) to distribute during Annual Coat Drive.
  • Submit Pathway of Hope, Social Service statistics to Corps Officer(s). Other statistics as requested by Corps Officers(s).
  • Composes and prepares routine correspondence, memos, letters, reports, etc.
  • Prepares casework bills for payment and Corps Officers signature before submitting to DHQ for processing.
  • Makes daily trips to the Post Office, makes bank deposits (including but not limited to, mail appeal, Sunday Offerings, and cash donations).
  • Open corps mail, process mail appeals, and banks corps deposits. Scan and submit to DHQ as scheduled.
  • Maintain and submit monthly case-management budget reports to Corps Officer(s).
  • Assist Corps Officer(s) with other office duties as needed.
  • Attend scheduled staff meetings.
  • Attend community meetings pertaining to Social Services issues.
  • Drive and assist with pickups for afterschool programming from schools
  • Driving is an essential function of the position.
  • To maintain a clean, organized and welcoming environment for staff and clients (Clean office, restroom and waiting room).
  • Shower room coordination and maintenance (Schedule clients, clean shower, restock supplies as needed) *Look over shower policies.
  • All other duties as assigned.

Supervisory Responsibilities: Manage all volunteers for Social Services Needs.

Education and/or Experience: Bachelor's degree (B. A.) in Social Work or related field from four-year college or university, and five years related experience required, or equivalent case management and office experience.

Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or ability required for this position.

1. Ability to be flexible and able to work on multiple projects or tasks simultaneously

  1. Intermediate skills in Microsoft software to include Word, Excel, PowerPoint and Access. Aswell as the ability to access payroll, timekeeping and personal data via web-based system.
  1. Administrative skills to include utilization of standard office equipment, data entry, 10-key,attention to details and filing.
  1. Good communication skills both written and spoken, and ability to maintain effective workingrelationships.
  1. Demonstrated ability to handle confidential matters.

Other Qualifications: Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business. Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army.
