Primary Purpose:
To partner in the management of Towne University activities, providing facility support for meetings and events. Schedule is flexible with a minimum of 15 hours per week.
Essential Responsibilities:
- Assist with guest needs during meetings and events
- Assist with Towne University reservations for meeting and conference rooms
- Coordinate building use agreements with meeting organizers
- Communicate seating and table configuration requests to facility assistant and team
- Submit TownePort work orders for building repairs and maintenance
- Perform daily operations of Towne University
- Greet meeting organizers and attendees on arrival
- Ensure building is open and ready for guests/vendors
- Set up and assist with meetings
- Determine A/V needs and communicate computer & equipment needs with Technology
- Provide supplies and copies of meeting materials to guests upon request
- Provide door monitoring and front desk coverage, including acceptance and direction of deliveries
- Assist with RSVPs for campus events
- Maintain copier supplies and service calls
- Call FedEx to arrange for linen pick up
- Order name plates and cubicle name cards
- Prepare Birthday/Anniversary cards and distribute monthly
- Position requires the employee to occasionally be available on-call
- Work events that may include evenings, weekends, and early mornings to meet caterers or reset rooms
- Assist with office supply inventory and report items needed to L&D Team Executive Assistant
- Assist Marketing and L&D teams with various tasks as needed
- Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
- Other duties as assigned.

Physical Requirements:
- Express or exchange ideas by means of the spoken word via email and verbally
- Exert up to 10 pounds of force occasionally, use your arms and legs, and sit most of the time.
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
- Not substantially exposed to adverse environmental conditions.
