Job description

Family Office Accounting & Tax Associate (Part Time)
Department: Accounting
Employment Type: Part Time
Location: Remote
Compensation: $25.00 - $35.00 / hour
Description
We are seeking a capable, part-time Family Office Accounting & Tax Associate to support the bookkeeping, accounting, tax coordination, and financial reporting needs of high-net-worth families, entrepreneurs, and closely held business owners.
This individual will serve as Synergy's primary internal execution resource for accounting and tax-related workflows - performing much of the initial bookkeeping and accounting work, investigating financial activity, maintaining accurate financial information, coordinating tax documentation, and working directly with clients to resolve outstanding items.
This is not a traditional bookkeeping role. The Associate will gain exposure to the complete financial lives of sophisticated families, including closely held businesses, real estate, private investments, multiple legal entities, tax planning, and family-level financial reporting. The role is designed for someone with meaningful practical accounting experience who wants to develop within a multi-family office environment.
The position is anticipated to be between 15-25 hours per week with a regular schedule during business hours. The role may be performed remotely within the United States, with optional hybrid availability for individuals located in the Greater Los Angeles area.
The position requires access to highly confidential client financial information and may include authorized view-only access to client banking, brokerage, investment, and other financial systems. Appropriate background screening will be required.
Key Responsibilities
  • Perform ongoing bookkeeping and account reconciliations using QuickBooks Online
  • Review and categorize transactions and investigate unidentified or unusual financial activity
  • Review general ledgers and identify missing, incorrect, or potentially misclassified transactions
  • Prepare proposed journal entries and other accounting adjustments for senior review
  • Maintain charts of accounts and supporting financial schedules
  • Prepare preliminary P&Ls, balance sheets, general ledgers, and other financial reports
  • Collaborate with senior accounting professionals to review, correct, and finalize client books and financial deliverables
  • Own the collection, organization, and delivery of information required for tax preparation and tax planning
  • Coordinate tax organizers and supporting documentation
  • Collect and maintain K-1s, investment statements, closing documents, entity records, and other tax-related information
  • Work directly with tax professionals to resolve outstanding information requests
  • Develop working knowledge of the tax strategies utilized by clients to better understand the accounting and documentation requirements supporting them
  • Maintain clear boundaries between execution and advice; this role does not independently provide tax, investment, or legal advice
  • Maintain underlying information supporting client balance sheets, net-worth statements, and other family-office reporting
  • Track relevant financial information across closely held businesses, real estate, private investments, and personal assets and liabilities
  • Assist with mapping entity ownership and financial relationships across LLCs, partnerships, S corporations, holding companies, trusts, and other structures
  • Track investment-related tax information, including K-1s, basis information, and capital activity
  • Maintain accurate and organized accounting and tax records within Canopy and other firm systems
  • Communicate directly with clients to request documentation, clarify transactions, and resolve accounting-related questions
  • Independently schedule and lead routine bookkeeping, accounting, and documentation calls as appropriate
  • Translate accounting questions into clear, straightforward client communication
  • Own day-to-day activity within Synergy's bookkeeping inbox
  • Collaborate closely with Client Services, senior accounting professionals, and tax professionals to keep deliverables moving
  • Exhaust available internal records, financial systems, and other resources before requesting information already available elsewhere from a client
  • Maintain appropriate responsiveness to client and internal requests and proactively escalate blockers

Qualification & Required Experience
  • Minimum 2 years of hands-on QuickBooks bookkeeping/accounting experience
  • Experience performing reconciliations, transaction categorization, general ledger review, and maintaining financial records
  • Experience working with individuals and/or small-to-middle-market businesses with meaningful financial activity
  • Strong understanding of basic accounting principles and financial statements
  • Strong organizational skills and demonstrated ability to independently drive work to completion
  • Strong written and verbal communication skills with the ability to interact professionally with sophisticated clients
  • Working proficiency in Microsoft Excel
  • Ability to investigate and resolve financial questions before escalating or requesting information from clients
  • Ability to consistently dedicate approximately 15-25 hours per week, including availability during normal business hours
  • Experience with tax preparation, tax accounting, or private-client tax matters
  • Experience serving high-net-worth individuals, entrepreneurs, or closely held businesses
  • Background in family office, CPA firm, outsourced accounting/CAS, private-client tax, or similar professional services
  • CPA or Enrolled Agent credential, or progress toward one
  • Graduate or professional education in accounting, taxation, finance, business, law, or a related discipline

  • Organization & follow-through: Manages multiple detailed workstreams and sees them through to completion
  • Accounting competency: Strong practical QuickBooks and bookkeeping skills with the ability to understand how transactions flow through financial statements
  • Investigative mindset: Naturally asks why something occurred and works through available information before escalating
  • Ownership: Takes responsibility for getting answers and moving work forward
  • Client communication: Professional, personable, and capable of simplifying accounting concepts without unnecessary jargon
  • Judgment: Understands the difference between factual accounting execution and matters requiring senior professional judgment
  • Learning agility: Interested in understanding how accounting, tax, investments, entities, and other disciplines connect within a sophisticated family's financial life

Benefits
  • Paid holidays
  • Work from home with hybrid optional
  • 401(k) with company match
  • Paid vacation and sick days
  • Professional development and mentoring
