Ecommerce Coordinator
Part Time: 4-5 hours per day, 4-5 days per week

The Ecommerce Coordinator will work between 16 – 25 hours per week in the Bristol Office to support US Sailing store operations, including shipping orders, communicating with customers, managing the Shopify store platform, and monitoring inventory quantities. This person will coordinate the order fulfillment process, ensuring that orders are shipped accurately and on time. They will also be the main contact for customer service inquiries for the Store, providing outstanding customer service to our constituents, swiftly answering questions, and solving any issues.
The Coordinator will work closely with the Manager to monitor inventory quantities across multiple locations, audit and review product listings, and escalate customer service needs when necessary. They will help to maintain and improve the member and ecommerce databases.
This role is a critical interface between US Sailing and its customers and members. As such, the role requires a detail-oriented, customer service professional who possesses excellent organizational and problem-solving skills and can deliver a first-class member experience. A successful coordinator will work independently on managing operational tasks to increase efficiency across the store and the broader US Sailing team.
Duties/Responsibilities:
  • Pack and ship orders purchased through the ecommerce site
  • Fulfill orders from ecommerce site for digital items and bulk purchases through our warehouse
  • Monitor inventory levels per location while shipping orders, ensuring appropriate stock in office for fulfillment and restocking when necessary
  • Process International Proficiency Certifications (IPCs), ensuring that applicants meet requirements, answering questions from applicants, creating and shipping the IPC documents
  • Provide first-class customer service to customers and members by responding to emails and phone calls; providing information on product availability, pricing and discounts, and bulk purchasing; resetting store passwords; assisting with login issues and issues with placing or editing orders; aiming to solve all problems
  • Maintain inventory records, receive-in products from vendors or other inventory locations
  • Support quarterly physical inventory counts and accurate reconciliation
  • Support maintenance of the ecommerce site including products, images, descriptions, pricing, updates, and categories as needed
  • Communicate with Manager if customers have outstanding payments
  • Track sales and item history, monitor and share progress regularly
  • Monitor stock of shipping supplies, analyze expenses related to postage and shipping to maintain accurate data
  • Build and maintain effective working relationships with internal stakeholders and customers
Required Skills/Abilities:
  • Experience working with computers and databases
  • Experience with ecommerce or retail sales or similar
  • Customer service experience
  • Excellent organizational skills
  • Excellent verbal and written communication skills
  • Ability to multitask and solve problems
  • Proficient in Microsoft Outlook, Excel, Word, SharePoint, or similar tools
  • High School Diploma or equivalent
  • Possess a positive attitude and be a team player
Preferred Qualifications:
  • 2+ years of experience working in ecommerce or retail sales (Shopify experience a plus), working with computers and databases, shipping orders, and customer service
  • Confidence solving customer issues
  • Understanding of inventory control across multiple locations
  • Knowledge of sailing a plus
  • Ability to use all forms of office equipment
