Description
Gateway Rehab Center (GRC) has an opening for an Administrative Support Coordinator who provides administrative and operational support to the outpatient programming at our Brentwood, PA location. This position reports to an Outpatient Manager.
Responsibilities
  • Processes patient evaluations, admissions, and discharges in Electronic Health Records.
  • Assists in scheduling individuals for services with Electronic Health Records.
  • Greet visitors and patients and notify staff as people arrive for appointments.
  • Completes word processing, data entry, and filing duties.
  • Trains new administrative staff in office procedure and electronic medical record use.
  • Monitors patient liability and payment rate, including tracking patient liability, reminding patients, and referring nonpaying patients to site manager. Also, accepts patient liability payments and makes bank deposits.
  • Coordinates and processes patient drug screening.
  • Answer multi-line phone in a professional and pleasant manner, screen, and correctly direct calls to the appropriate staff.
  • Answer visitor inquiries and provide basic information as to services and programming.
  • Perform clerical duties as needed.
  • Audits patient charts, including admissions and discharges.
  • Supports operations of doctor/nurse day, including scheduling appointments, authorization and ordering of patient medication, and communication with pharmacies.
  • Orders supplies needed for office operations.
  • Ensures office equipment is functional and take responsibility for smooth functioning of office.
  • Generates and responds to correspondence.
  • Maintain neat and organized appearance of the lobby and front desk area.
  • Supports site medical records, including maintaining patient records and finalizing patient record after discharge.
  • Attends site and operations meetings as needed.
  • Performs related duties as needed.

Knowledge, Skills, and Abilities
  • Strong communication and organizational skills
  • Solid computer proficiency and experience

Requirements
  • High School diploma or GED.

Preferred Requirements
  • Post high school, business or professional school graduate.

  • Obtain Child Abuse and FBI Fingerprinting Clearances
  • Pass drug screen
  • 2-Step TB Test
  • Obtain CPR/First Aid Certification
