Renewal Coordinator 


Position Summary

We are seeking a proactive, highly organized Part-Time Renewal Coordinator to manage the end-to-end renewal cycle for our client portfolio. In this role, you will be the engine driving our recurring revenue stream, ensuring contract renewals are prepared accurately, delivered on time, and tracked through to completion.


This is a remote, part-time position requiring approximately 20-25 hours per week, with potential for added hours as our client base increases.


Key Responsibilities

  • Pipeline Management: Track and monitor the upcoming subscription renewal pipeline and proactively initiate the renewal workflow 60–90 days prior to contract expiration, depending on the product.
  • Contract & Quote Generation: Review existing client agreements, verify current user counts and modules, apply scheduled price increases or partner discounts, and generate accurate renewal quotes.
  • Sage Partner Portal Navigation: Utilize the Sage Intacct Partner Portal to log renewal opportunities, update contract metrics, and coordinate ordering logistics with Sage.
  • Contract/Invoice Management: Complete all tasks associated with generating and managing contracts and invoices in our internal ERP system. 
  • Internal Collaboration: Work closely with our Client Account Managers, Client Experience Specialists, and Finance team to identify upsell/cross-sell opportunities or flag potential client retention risks.
  • Client Communication: Serve as a clear, professional point of contact for client billing and procurement departments regarding renewal terms, administrative adjustments, and invoice delivery.
  • Data Integrity: Maintain flawless records of contract dates, margins, and subscription details within our internal CRM/ERP systems.


Qualifications & Skills

  • Experience: 2+ years of experience in accounting, software sales operations, billing, or account coordination. Experience working within a software VAR, MSP, or SaaS environment is highly preferred.
  • Software Familiarity:
  • Direct experience with the Sage Intacct platform or the Sage Partner Portal is a plus.
  • Proficiency with CRM systems (e.g., Salesforce, HubSpot) and standard office tools (Microsoft Excel, Adobe Acrobat).
  • Attention to Detail: Exceptional organizational skills with a proven ability to review complex software contracts and numbers without letting small errors slip through.
  • Communication: Strong written and verbal communication skills; comfortable reaching out to clients to clarify contract details or follow up on signatures.
  • Autonomy: A self-starter mindset capable of managing a recurring calendar of deadlines with minimal daily supervision.
