POSITION SUMMARY

The Workers’ Compensation (WC) Coordinator is responsible for handling Work Comp claims for Sano. The WC Coordinator will assist the physician in patient treatment and communication and serve as a liaison for all parties involved in Work Comp cases. The WC Coordinator is an extension of the practice and expected to make the workplace an efficient and effective environment and maintain proper standards of quality and integrity. The WC Coordinator reports directly to the Work Comp Lead.

PRIMARY RESPONSIBILITY

  • Optimize and nurture the Workers’ Compensation patient experience.
  • Serve as liaison to patients and their representatives (Nurse Case Manager, Claims Adjuster, Employer, Attorney, etc.)
  • Build and maintain strong relationships with Nurse Case Managers and Claims Adjusters.
  • Assist patients with questions and provide a better understanding about the WC process.
  • Serve as central hub of communication for the Workers’ Compensation Department.
  • Support providers and clinic teams with tasks related to a WC claim.
  • Schedule WC appointments.
  • Ensure proper authorization is obtained for appointments.
  • Collect all claim information and enter into EMR system.
  • Obtain medical records and imaging for appointments as needed.
  • Filter incoming documents and assign them to appropriate parties as needed (fax, email, mail).
  • Send progress notes, operative reports, imaging reports, work status notes, etc. to appropriate recipients.
  • Prepare rating reports for providers and obtain prepayment for reports.
  • Facilitate attorney communication as needed.
  • Schedule and bill for Independent Medical Evaluations (IMEs).
  • Schedule and bill for legal reports, depositions, and attorney conferences.
  • Ensure payment is received from insurance carriers, employers, and attorneys for services rendered.
  • Assist the Revenue Cycle Management department with WC billing issues as needed.
  • Obtain prior authorization for WC procedures, surgeries, imaging, DME, physical therapy, and other medically related items.
  • Quickly and accurately respond to emails throughout the day.
  • Monitor and respond to Teams and Klara messages throughout the day.
  • Answer phone calls from the Work Comp line and check voicemails daily.
  • Attend mandatory staff meetings and occasional WC Conferences (virtual and on-site)
  • Adhere to all company policies and procedures.
  • Assist the Workers’ Compensation Lead with tasks and projects as required.
  • Other duties as assigned.

SKILLS

  • Understanding of Internal Classification of Diseases (ICD) and Common Procedural Terminology (CPT) coding
  • Knowledge of medical terminology
  • General computer skills, especially with Microsoft Office Applications (i.e. – Word, PowerPoint, and Excel)
  • Data Entry

  • EMR experience (eClinicalWorks preferred)
