Job description

Position Summary

The Office Assistant plays a critical role in supporting daily real estate prospecting operations. This position ensures smooth workflow by managing administrative tasks, organizing data, maintaining CRM accuracy, preparing materials, and assisting with follow-up activities.


This role is ideal for a detail‐oriented, organized professional who thrives in a fast‐paced environment and can keep the office running efficiently. Experience with QuickBooks is a strong bonus.

Key Responsibilities

Administrative & Office Support

  • Manage daily office tasks, including filing, scanning, printing, and organizing documents.
  • Prepare listing packets, marketing materials, and follow-up letters.
  • Maintain organized digital and physical records for leads, clients, and transactions.
  • Assist with scheduling, calendar management, and appointment confirmations.
  • Handle inbound calls, voicemails, and basic client communication.

CRM & Data Management

  • Enter, update, and maintain lead information in the CRM.
  • Tag, categorize, and organize leads for ISA follow-up.
  • Track daily prospecting numbers, appointments, and outcomes.

Financial & QuickBooks Support (Bonus Skill)

If experienced with QuickBooks:

  • Enter expenses, reconcile accounts, and maintain basic bookkeeping.
  • Assist with vendor payments, invoicing, and financial recordkeeping.
  • Support monthly reporting and organization of receipts and statements.
