Our client, a cutting-edge healthcare education company, is looking for a Virtual Part-Time Project Manager - Medical Education & Scientific Programs to join their team. This individual will report to the Associate Vice President of Medical Education and will take ownership of the day-to-day coordination and execution of a variety of healthcare education programs, conferences, networking events, and other special programs.

This is a permanent, part-time opportunity that is ideal for an experienced project coordinator or project manager who wants a flexible, primarily remote work schedule while still having the opportunity to manage meaningful projects from start to finish.

The ideal candidate is exceptionally organized, proactive, detail-oriented, and comfortable juggling multiple projects and deadlines. This person will work closely with internal team members as well as healthcare professionals, sponsors, faculty, participants, and vendors to make sure programs are executed on time, on budget, and with a high level of professionalism.

• Serves as the day-to-day Project Manager and primary point of contact for assigned healthcare education programs, conferences, networking events, and other special programs
• Manages multiple programs from planning through execution, ensuring timelines, deliverables, logistics, and deadlines stay on track
• Develops and maintains project timelines, task lists, checklists, trackers, and deliverables
• Proactively identifies potential project risks, gaps, and opportunities for process improvement
• Coordinates pre-event and on-site program logistics, including scheduling, room and venue needs, vendor coordination, and preparation of program materials
• Identifies and coordinates healthcare professionals and other program participants, managing communications and serving as their primary point of contact
• Works closely with internal team members to execute program strategy and support the continued growth and success of assigned programs
• Coordinates with sponsors and internal team members to ensure program logistics, deadlines, materials, communications, and approvals are clearly communicated and completed
• Assists with tracking financial and contractual requirements, including agreements, purchase orders, payments, invoices, and program expenses
• Oversees participant communications, including invitations, calendar reminders, welcome materials, follow-up information, and post-event surveys
• Maintains detailed program trackers and reports, ensuring participant information, event details, room assignments, deadlines, and other information remain accurate and current
• Coordinates registration activities when needed, including application processing, attendee tracking, and registration reporting
• Creates and tracks project tasks using Teamwork or other project management software
• Conducts quality assurance reviews of event materials, registration sites, participant communications, sponsor deliverables, and program documentation before launch or distribution
• Assists with preparing and coordinating program agreements and obtaining necessary approvals and signatures
• Works with finance and other internal departments to support invoicing, payment tracking, and expense reconciliation
• Coordinates with internal committees and team members to support program planning, communications, and meeting logistics
• Represents the company at assigned programs, conferences, events, and meetings
• Performs other duties as required or assigned by company leadership
