Job description

We are seeking a highly organized, proactive, and versatile Part-Time Personal Administrative Assistant to support both the professional and personal operations of our leadership. In this role, you will act as a central resource for daily activities, seamlessly shifting between digital file management, physical organization, local errands, and personal support tasks. The ideal candidate is a reliable self-starter who thrives in a dynamic environment, possesses excellent attention to detail, and maintains strict confidentiality.

Hours: 15–20 hours per week

Responsibilities

  • Cloud Organization: Scan, index, and organize physical documents into our digital ShareDrive system, ensuring logical folder structures and easy retrieval.
  • Physical Archive Management: Maintain, audit, and systematically file paper documents, sensitive records, and financial paperwork.
  • Correspondence: Assist with sorting incoming mail, managing digital correspondence, and tracking action items.
  • Business Errands: Handle daily ground logistics, including post office runs, returns, picking up office supplies, delivery lunch, and courier tasks.
  • Personal Support: Assist the Executives with personal tasks such as picking up dry cleaning, scheduling personal appointments, vehicle maintenance drop-offs, or coordinating personal deliveries.
  • Inventory Control: Monitor inventory levels for both office supplies and personal essentials, ordering or purchasing replacements proactively.

Qualifications & Requirements

  • Experience: 1–3 years of experience in an administrative support, personal assistant, or office coordinator role preferred.
  • Technical Skills: Proficient with cloud storage platforms (Google Drive, OneDrive, or ShareDrive systems), basic document scanning software, and smartphone applications for navigation and task management.
  • Transportation: Must possess a valid driver’s license, a clean driving record, and a reliable personal vehicle for running local errands.
