Job description

We are seeking a compassionate, organized, and energetic Medical Assistant to support patient care, clinical workflows, chronic disease programs, and day-to-day practice operations. 

Position Summary 

The Medical Assistant supports the Registered Dietitian, Diabetes Educator, and wellness team by preparing patients for visits, documenting clinical information, assisting with basic testing and wellness services, supporting coding and billing accuracy, coordinating administrative tasks, and helping patients feel supported throughout their care journey. 

Key Responsibilities 

Clinical & Patient Care 

  • Welcome patients and provide a warm, professional experience from check-in through check-out. 
  • Prepare patients for visits by obtaining vitals, height, weight, BMI, waist circumference, medical history, medications, allergies, and lifestyle updates. 
  • Accurately document patient information in the Electronic Medical Record. 
  • Prepare rooms, supplies, and equipment for consultations, screenings, and wellness assessments. 
  • Assist providers during patient visits and maintain HIPAA, infection control, and safety standards. 

Diabetes, Wellness & Chronic Disease Support 

  • Perform point-of-care glucose and A1C testing as appropriate. 
  • Support blood glucose monitoring education, CGM report downloads, diabetes device documentation, supply orders, and refill coordination. 
  • Reinforce clinician-provided guidance on nutrition, exercise, hydration, medications, and follow-up care. 
  • Assist with body composition analysis, wellness assessments, functional movement screenings, and lifestyle coaching visits. 
  • Help patients navigate wellness resources, education materials, programs, and follow-up services. 

Administrative & Care Coordination 

  • Schedule appointments, wellness programs, and follow-up visits. 
  • Verify insurance, support prior authorizations, process referrals, and coordinate care with providers and specialists. 
  • Respond professionally to calls, portal messages, and emails. 
  • Maintain accurate records, manage clinical supply inventory, and support smooth daily clinic operations. 

Medical Coding & Billing Support 

  • Apply knowledge of medical terminology, anatomy, physiology, diseases, treatments, and procedures when reviewing patient documentation. 
  • Use familiarity with ICD, CPT, and HCPCS coding systems to support accurate documentation, billing, and reimbursement. 
  • Review medical records for inaccuracies, missing information, or inconsistencies and communicate needed corrections to the care team. 
  • Interpret clinical information from patient records and ensure codes align with services provided and payer requirements. 
  • Work effectively with EHR systems, coding software, billing platforms, and other relevant computer programs. 
  • Communicate professionally with patients, providers, and insurance representatives regarding documentation, coding, billing, and reimbursement needs. 

Qualifications 

Required 

  • High school diploma or GED required. 
  • Graduate of an accredited Medical Assistant program. 
  • Current Medical Assistant certification (CMA, CCMA, RMA, NCMA, or equivalent). 
  • Current CPR/BLS certification. 
  • Minimum 2 years of Medical Assistant experience. 
  • Experience with EHR systems, coding software, billing platforms, and strong computer skills. 
  • Excellent communication, organization, attention to detail, and customer service skills. 
  • Knowledge of medical terminology related to diseases, treatments, anatomy, and physiology. 
  • Familiarity with ICD, CPT, and HCPCS coding systems. 
  • Ability to identify documentation inaccuracies or inconsistencies and maintain coding precision. 
  • Understanding of insurance billing processes and reimbursement requirements. 

Preferred 

  • Experience in diabetes care, primary care, family medicine, internal medicine, or wellness clinics. 
  • Experience working with Registered Dietitians or Certified Diabetes Care and Education Specialists. 
  • Knowledge of CGMs, A1C testing, chronic disease management, referrals, or insurance authorizations. 
  • Bilingual English/Spanish is a plus.
