Job description

We are seeking a part-time Office Administrator to support daily operations and serve as a key point of contact for internal and external inquiries. This role requires a strong understanding of company activities, excellent customer service, and a high degree of discretion and confidentiality.
Responsibilities include managing a multi-line phone system, directing calls, and greeting clients, vendors, and visitors. The ideal candidate is a team player who is flexible and willing to assist with a variety of administrative tasks. This position reports to the Executive Administrator.
What You Get to Do:

  • Office Administrator to support daily operations
  • Provide front desk coverage Monday-Thursday, 6:30 a.m.-1:00 p.m.
  • Serve as the first point of contact, representing GLY with professionalism and excellent customer service
  • Greet visitors, determine the nature of their business, and direct them appropriately
  • Answer, screen, and route incoming calls; provide general company information as needed
  • Coordinate conference room schedules and support meetings, including catering and setup
  • Manage incoming/outgoing mail and packages (USPS, UPS, FedEx, courier)
  • Perform corporate purchasing and monthly credit card reconciliation, coding expenses appropriately
  • Maintain clean, organized common areas; restock and manage office supplies and equipment
  • Support teams with document preparation, scanning, filing, and database maintenance
  • Order project drawings and assist with general office needs
  • Run errands and support special requests (valid driver's license required)
  • Assist with coordination of onsite and offsite events
