TITLE: Administrative Coordinator - Wasatch Adaptive Sports

LOCATION: Snowbird Resort and Murray, Utah office location

STATUS: Part-time, Hourly - $25

SCHEDULE: 20 hours/3 days per week - occasional weekends

SUMMARY

The Administrative Coordinator supports the day-to-day administrative and operational functions of Wasatch Adaptive Sports. This role helps maintain an organized, efficient, and welcoming work environment while supporting internal systems, office operations, staff logistics, and recurring administrative tasks. This role regularly collaborates with all WAS stakeholders including staff, instructors, volunteers, and external partners.

The ideal candidate is highly organized, detail-oriented, adaptable, and enjoys creating structure and support behind the scenes. This role reports to the Operations Director and works closely with the broader WAS team to help ensure smooth daily operations across the organization.

WHAT YOU'LL DO

Administrative Operations

  • Provide general administrative support to ensure efficient daily office operations across the organization.
  • Support scheduling, coordination, and logistics for meetings, projects, and organizational activities.
  • Prepare meeting agendas, materials, presentations, and follow-up documentation, including meeting minutes and action items.
  • Assist with organizational communication, including shared email management and follow-up coordination.
  • Maintain organized digital and physical filing systems, databases, and internal records.
  • Support data entry, reporting, tracking, and administrative documentation needs.
  • Assist with maintaining internal systems, shared drives, and organizational workflows.

Office, Facilities & Technology

  • Assist with purchasing, supply inventory, mail processing, and vendor coordination.
  • Support office organization, facility upkeep, and operational needs across multiple office locations.
  • Manage inventory for office supplies, uniforms, and other items.
  • Support basic office technology, hardware coordination, and troubleshooting needs.

Finance & Compliance

  • Assist with financial administrative tasks including deposits, expense tracking, invoice support, and recordkeeping.
  • Track certifications, training, compliance requirements, and other organizational records.

Organizational & Team Support

  • Support staff engagement initiatives, team events, and organizational culture efforts.
  • Coordinate onboarding and offboarding logistics for staff, instructors, and board members.
  • Support a positive, organized, and service-oriented team environment.
  • Champion WAS's mission and values.
  • Additional responsibilities as assigned by leadership.

WHAT YOU NEED TO GET THE JOB DONE

Education & Experience

Required

  • 3 years of administrative, office, operations, or customer service experience.
  • Must be at least 21 years of age.
  • A valid driver's license, clean driving record, and a personal vehicle that is available for work-related tasks are necessary.
  • Passion for WAS's mission and community impact.
  • Competency in Google Workspace and Microsoft Office.
  • Commitment to valuing diversity and contributing to an inclusive environment.

Preferred

  • Experience working in a nonprofit environment.
  • Experience with inventory tracking or office coordination.
  • Experience with basic troubleshooting for common office technology issues.

WORK SCHEDULE
