Hiring Company Overview

The JPI Group, on behalf of DNV Energy Services USA Inc. ("DNV"), is seeking a part time Office Manager.  Our team supports the implementation of the utility-led Energy Efficiency Incentive programs for business customers. The candidate must be able to work three (3) days in the Jersey City, NJ office.

Job Description

Based in Jersey City, New Jersey, this role supports DNV Energy System in managing DNV's office and helping with Health, Safety, and Environmental-related tasks for the office.  This position requires the incumbent to be onsite in the office three days per week.  The role is part-time and will be for three days per week during business hours, typically 9 am to 5 pm.

Job Responsibilities

The following list is an example of the duties and expectations, but is not meant to be to be all-inclusive or to prevent other duties from being assigned

General Office Administrative Tasks

  • Overseeing daily office operations to ensure efficiency and organization
  • Answering phone calls and emails and directing inquiries to the appropriate department or employee based on the nature of the request
  • Greeting customers and other visitors and directing them to offices and meeting rooms
  • Managing agendas, travel plans and appointments for management
  • Tracking, replenishing and ordering office supplies to avoid interruptions in standard front office procedures
  • Preparing and updating reports, spreadsheets and presentations
  • Assisting with onboarding new employees and coordinating HR-related tasks
  • Other tasks as requested by management

Health, Safety, and Environmental Tasks

  • Tracking employee safety training, keeping injury logs, and related items
  • Reviewing fire exits, assembly points, and emergency protocols during new-hire orientations and periodically thereafter
  • Managing the inventory of First Aid kits, AEDs, and Personal Protective Equipment, while conducting routine workplace walkthroughs
  • Scheduling safety maintenance such as fire extinguisher inspections, ergonomic assessments, and office inspection audits
  • Other tasks as requested by management
Qualifications/Professional Skills
  • Associate or Bachelor's degree (preferred but not required) 
  • 2+ years of experience managing an office of approximately 10 people
  • Highly detailed and organized
  • Proficiency in using software tools such as Microsoft Word, Microsoft Excel, and Microsoft Teams
  • Must be a resident of the State of New Jersey
  • Positive, reliable, collaborative and team-oriented attitude
  • Excellent oral and written communications skills
  • Ability to work well under pressure in time-critical situations and be productive and self-motivated during slow periods
  • Curious about the energy efficiency industry and eager to learn
Physical Abilities
  • Ability to work core business hours 3 days a week, 9am to 5pm
  • Remaining in a stationary position, often standing, or sitting for prolonged periods
  • Communicating in verbal and written format with others to exchange information in a professional manner
  • Repeating motions (i.e., typing) that may include the wrists, hands and/or fingers
  • Assessing the accuracy, neatness and thoroughness of the work assigned
Work Environment
  • The position will work three (3) days in the office in Jersey City, NJ.  The office overlooks the Hudson River with pristine views of lower Manhattan. 
  • The work environment is friendly, fun, cooperative, and very fast-paced. Staff members need to be able to work independently and adapt to changing priorities.
