GENERAL DESCRIPTION OF POSITION:

The Undergraduate Admissions Part-Time Temporary Office Assistant serves the office of undergraduate admissions.  Reporting to the Lead Coordinator, the Office Assistant will be responsible for routine data entry duties and other duties as assigned in support of Undergraduate Admissions application processing. 
Other responsibilities include supporting preparation of mailing campaigns, data integrity checks, document processing, and appropriate maintenance of sensitive admissions-related applicant information.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

  • Position requires heavy, detailed data entry of sensitive applicant information..
  • Recognize/address data integrity issues appearing in supported systems.
  • Knowledge of FERPA as it relates to sensitive student information.
  • Maintenance of sensitive information, and appropriate data security as it relates to the access of data stored in Colleague, SLATE and Etrieve systems, and encountered in applicant records, files and documents.
  • Support admissions operations team, as needed, to process application related documents, conduct data integrity checks and any identified clean up, manage mailings, and inventory office supplies/recruitment SWAG, etc., as requested. 
  • Position requires a high degree of detail orientation and accuracy in data entry.
  • Communicate with Lead Coordinator and Operations Manager as needed to support successful execution of individual and team responsibilities.
  • Attend position-related trainings, as required to successfully execute job responsibilities (FERPA, Colleague, CRM Recruit, Technolutions SLATE, Etrieve, etc.) 
  • Willingness to take on new projects as needed throughout the recruitment cycle.

WORKING CONDITIONS:  

This is a remote position, with occasional requirement to be in the office (Knight Hall) to support mailings, periodic inventory responsibilities, etc.  It is a part-time position with number of hours worked varying from week to week, as determined by business needs and as outlined by the Lead Coordinator.

Reports to the Undergraduate Admissions Lead Coordinator
 

REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS:

  • Strong understanding of data privacy and data integrity requirements in handling sensitive applicant and student information, throughout the recruitment cycle.
  • Exceptional attention to detail and data entry skills.
  • Candidates are expected to be highly organized, technically proficient, and dedicated to the office and the University.
  • Ability to work with an information technology based recruitment software package, Microsoft Office, and strong email and web skills. 
  • The ability and confidence to exercise discretion while working independently, as well as the commitment to working as part of a team, are expected.
  • Evidence of good people skills, intra-campus relationships, good judgment, and flexibility.
  • Strong written and oral communication skills; self-motivated work ethic.
