Working collaboratively with colleagues across the organization, they will help deliver an exceptional experience for both clients and staff.   Position Status: Existing vacancy Pay Rate: $25.00/hr Start Date: Early August 2026 Location: Oakville, ON Hours: 8:30am to 1:00pm Job Type: Part-Time Start your journey in this part-time role, with the potential to transition into a full-time, permanent position.   Knowledge and Experience: * 3+ years of experience in an administrative, receptionist, or office support role preferred * Experience in office administration * Intermediate proficiency in Microsoft Office, Excel, Microsoft Calendar, and CRM systems * Polished and professional communication style, both verbal and written * Strong organizational skills with a keen eye for detail * Proactive, dependable, and able to work independently with minimal supervision * Comfortable with standard office technology (phones, scheduling tools, Microsoft Office) * Warm, service-oriented demeanor with a genuine interest in contributing to team success   Responsibilities: Office & Facilities Management • Maintain a clean, organized, and professional office environment throughout the morning • Monitor and replenish office supplies, placing orders as needed • Liaise with building management or vendors for facilities-related matters • Ensure the kitchen is stocked, tidy, and well-maintained at all times • Manage coffee, refreshments, and consumable supplies   Client Experience • Warmly greet and welcome clients and visitors upon arrival • Ensure reception and common areas reflect professional standards • Anticipate client needs and contribute to a consistently positive experience • Answer and direct incoming phone calls in a courteous and professional manner • Take accurate messages and ensure timely follow-through   Team Collaboration * Set up internal meeting rooms in advance, including materials, technology, and refreshments * Coordinate room bookings and ensure meeting spaces are reset promptly after use * Work closely with staff to support client-facing initiatives and internal priorities * Assist with ad hoc tasks and projects as requested by the team * This position may also be required to perform additional duties or special projects as assigned.   Education Level: • College / University Degree
