ABOUT THE ROLE: EVENTS COORDINATOR (PART-TIME)

Theย part-timeย Eventsย Coordinatorwillย assistย with the full lifecycle of IRIย events, including eventย coordinationย and management,ย communications and marketing, and vendor relations andย logistics, with the goal of raising awareness of IRIโ€™s story, work,ย and mission around the world.ย Theย Eventsย Coordinator will also support events at the Events Center in IRIโ€™s Headquarters Office Building that are not directly affiliated with IRI.ย This position reports to theย Senior Manager for External Engagement andย Development,ย andย will work closely withย the Executive Vice President and othersย across IRI.

This positionย is located inย Washington, DC.ย Theย Eventsย Coordinatorย is expected to work in-office threeย or moreย days per week, based onย the eventsย calendarย and otherย emergingย priorities.ย ย 

This position is expected to work 20โ€“25 hours per week. The role will begin on a part-time basis, with the potential to expand into a full-time position based on organizational needs, workload, and funding availability.

KEY RESPONSIBILITIES

  • Assistย with all aspects ofย organizing and implementing all types ofย events and meetings, including internal IRI events, IRI eventsย with external stakeholders, and non-IRIย events at theย Headquarters Building;ย 
  • Manage the IRIย events calendar and develop event materials, includingย logisticsย and staffing plans, event checklists, and run of shows;ย 
  • Coordinate withย IRI staff,ย event co-hosts, sponsors,ย andย partnersย on all aspects of events,ย includingย venue requirements, event technology, signageย and branding, invitations, registration systems,ย andย otherย eventย materials;ย 
  • Coordinateย walkthroughs of the HQ Event Center for prospective users, explaining room capabilities and set-up options;ย 
  • Collaborate withย External Affairsย staffย on event outreach and promotion;ย 
  • Measure, track,ย and report on event outcomes, including event surveys and attendance tracking;ย 
  • Work with vendors and process contracts and payments to and for vendors;ย 
  • Participate in eventsย and event preparation at other venues,ย outside of the office;ย 
  • May require occasional work outside of normalย businessย hours;ย 
  • Other responsibilities as assigned.ย

WHAT WEโ€™RE LOOKING FOR

We seek a passionate and experienced individual with:

  • Minimum 2ย years of experience directlyย assistingย with in-person and virtual events of all sizes with diverse stakeholders and audiences;ย 
  • Experience organizing events including coordinating staff, volunteers, vendors, and others contributing to the execution of events;ย 
  • Ability to think strategically while also focusing on and executing details;ย 
  • Professional demeanor and excellent interpersonalย skills toย representย IRI and interface with external stakeholders;ย 
  • Experience with contact management systems and virtual events platforms;experience with HubSpot and Eventbrite are a plus.ย 
  • Strong time management skills andย demonstratedย attention to detail;ย 
  • Strong oral and written communications skills,ย including the ability to leadย logisticsย meetings, liaise with vendors, and prepare event-relatedย materialsย (checklists,ย logisticsย documentation, reports, and meeting summaries);ย 
  • Strong task management and organizational skillsย with the ability to set priorities and balance competing demands;ย 
  • Basic understanding or willingness to learn about A/V systems for events;ย 
  • Proficiencyย in Microsoft Office 365 Suite (Excel, Outlook, PowerPoint, Word) as well as Teams, Zoom, and SharePoint.ย 

Preferred qualifications:ย 

  • Experience implementing communications and/or marketing in support of events;ย 
  • Bachelorโ€™s degree.ย 

IRI TOTAL COMPENSATION

The anticipated compensation range for this position is $24/hour to $28/hour USD.

The pay for this position is determined based on a wide variety of factors including but not limited to an individualโ€™s professional experience, qualifications, education and other business needs along with internal equity considerations. Employees are not typically hired at the top of the range for their role and compensation decisions are made based on the aforementioned considerations.

Due to this role being part-time, it is eligible for limited benefits.
