Job description

We’re looking for a part-time, hybrid real estate operations coordinator/admin assistant to join our growing team in Austin, Texas. This hire will play a key role in team growth by supporting daily operations and may grow into a full-time position.

This is a dynamic, fast-paced role that supports many different aspects of our business. Because we are a small, collaborative team, no two days are exactly alike. New projects, priorities, and opportunities arise regularly, and we're looking for someone who enjoys variety, can quickly adapt to changing needs, and is excited to jump in wherever help is needed. Whether you're checking new listing tasks for completion, helping launch a new marketing campaign, or planning a marketing event, you'll play an important role in keeping our business running smoothly.

Our ideal candidate is highly organized, proactive, resourceful, and comfortable wearing many hats. They enjoy solving problems, learning new skills, and taking ownership of projects with minimal direction. Strong communication, attention to detail, and a customer-first mindset are essential. Real estate experience is not required; we're happy to teach the industry to someone with the right attitude, work ethic, and adaptability.

Compensation:

$20 - $25 hourly


Responsibilities:
  • Coordinate daily administrative tasks to ensure smooth operations and support team efficiency, including executing client care programs.
  • Create and manage all systems for sellers, buyers, client database management, and lead-generation tracking.
  • Prepare marketing materials such as listing and open house flyers, graphics, etc.
  • Attend all team meetings, including the weekly in-person meeting.
  • Organize and maintain document storage, ensuring easy access and retrieval for the team.
  • Communicate with clients and vendors, providing timely responses and excellent customer service.
  • Prepare and distribute internal communications to keep the team informed and aligned with company goals.
  • Plan team and client events.

Qualifications:
  • Excellent problem-solving skills, sound judgment, and the ability to think strategically about systems and processes.
  • Ability to manage multiple priorities, work efficiently, and adapt in a fast-paced environment.
  • Experience in operations support roles, preferably in a fast-paced environment.
  • Proven organizational skills with exceptional attention to detail.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and team members.
  • Proficiency with a wide variety of software and business tools, with the ability to quickly learn new platforms and technologies. Experience with Google Workspace, Canva, CRM platforms, and database management systems is preferred.
