Overview / Responsibilities

Key Responsibilities

This is a part time position working Monday through Friday, 20 hours per week.

  • Will greet visitors for a small office
  • Provides general administrative support to a department, group of professionals, or individual
  • Receives and responds to routine correspondence following established procedures not requiring management review
  • Routine and extensive contact with employees, clients, subcontractors and vendors
  • Oversees the ordering/purchasing of supplies, equipment, vending and marketing merchandise
  • Perform word processing functions, including data entry and formatting of technical reports
  • Documenting meeting minutes during project meetings
  • Billing reconciliation of purchasing statements and invoices
  • Will assist Project Managers with project billing
  • Will schedule conference room meetings, order lunches
  • Coordinate office functions including vendor lunches, teambuilding events and social activities
  • Responsible for office facilities maintenance including contacting/ascertaining contractors and communicating with building management/maintenance
  • Schedule conferences and seminars for professional staff
  • Responsible for assisting the Health and Safety Coordinator in the communication of all safety measures and the maintenance of safety and personal protective equipment stock
  • Assist with on-boarding of new hires
  • Other duties to include mail, shipping, copying, report collating, binding and filing
Skills / Qualifications

Skills/Qualification:

  • 3 - 5 + years experience in an office environment
  • Excellent phone answering skills and friendly customer service skills
  • Professional demeanor with co-workers, visitors, clients and vendors
  • Excellent verbal, written and interpersonal communications skills
  • Self-starter with excellent organizational skills and attention to detail
  • Demonstrated ability to work in team situations with multiple priority management
  • Detail oriented, proactive individual who takes ownership of their work
  • Proficiency in MS Word, Excel and Outlook required
  • Previous experience working at an engineering, construction or architectural firm a plus
  • Flexibility to work outside normal business hours as required
  • Must pass drug test and background check
