Description

Our Chemical Sciences Group is seeking a part-time Facilities & Project Coordinator based in Springville, NY. Primary duties include: 

  • Supporting day-to-day facility and office operations, including workplace readiness, organization, cleanliness, security, and equipment functionality
  • Conducting routine facility inspections to ensure compliance with health, safety, and operational standards 
  • Coordinating workspace organization, seating arrangements, and allocation of shared resources 
  • Serving as the primary point of contact for employees regarding office operations and facilities-related needs 
  • Scheduling and overseeing routine maintenance, repairs, and vendor services, including coordination with HVAC, cleaning, security, and IT support providers 
  • Acting as the liaison for third-party vendors and contractors, coordinating schedules, facility access, and issue resolution 
  • Maintaining documentation related to vendor services, contracts, renewals, facility procedures, and operational records
  • Supporting leadership in maintaining compliance with workplace safety standards, building codes, and regulatory requirements 
  • Managing facility SOPs and supporting adherence to established Quality Management System procedures 
  • Monitoring and maintaining inventory of office, laboratory, and facility supplies and coordinating purchasing activities as needed 
  • Supporting cross-functional operational and administrative projects in a fast-paced environment 


Requirements:

 The position also requires that the selected candidate possesses:  

  • Strong organizational and multitasking skills with the ability to manage multiple priorities simultaneously 
  • Excellent written and verbal communication skills and the ability to work effectively with colleagues, management, vendors, and clients 
  • Knowledge of facilities management and workplace operations best practices 
  • Attention to detail and the ability to work independently as well as collaboratively within a team environment 
  • A professional, dependable, and service-oriented approach to daily responsibilities 


THE FOLLOWING REQUIREMENTS MUST BE MET TO BE CONSIDERED FOR THIS POSITION:

Minimum Qualifications

  • Bachelor’s degree in facilities management, business administration, operations, or a related field preferred 
  • 2–3 years of experience in operations coordination, facilities management, office management, or a related role 
  • Proficiency with Microsoft Office software including Excel, Word, Outlook, and Teams 
  • Experience using project management and collaboration tools such as Microsoft Planner and SharePoint 
  • Ability to manage confidential and regulated information with discretion 
  • Must be able to obtain and remain eligible for a US Department of Defense security clearance.


THE FOLLOWING REQUIREMENTS ARE DESIRED BUT NOT REQUIRED FOR THIS POSITION:

  • Familiarity with workplace safety regulations and compliance requirements 
  • Experience supporting operations within a laboratory, technical, or regulated environment 
  • Experience coordinating vendors, contractors, and facility service providers 
  • Experience supporting quality management systems or SOP documentation 
  • Prior experience supporting senior leadership and cross-functional teams
