Job description

DIP Administrative Coordinator
Provides administrative support and coordination to the Drivers Intervention Program and it’s Director . Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. This position will require a great deal of professionalism, organization, and excellent customer service. This position also requires excellent working knowledge and experience with Microsoft Word, Excel

Essential Responsibilities

Scheduling: Managing the schedule for the program, including registration dates, class sessions, and meetings.

Documentation: Maintaining records of participants, attendance, and any required paperwork for the program.

Communication: Handling phone calls, emails, and inquiries from participants, stakeholders, and external parties.

Data Entry: Inputting relevant information into databases or systems to track participant progress and program statistics.

Preparation: Assisting with preparing materials, presentations, and resources for the program's sessions.

Registration: Managing participant registration, ensuring all necessary information is collected and stored appropriately.

Logistics: Coordinating the logistics of the program, such as venue bookings, equipment setup, and transportation.

Follow-Up: Sending reminders to participants about upcoming sessions, deadlines, or required actions.

Reporting: Generating regular reports on program statistics, attendance, and outcomes for management or regulatory purposes.

Support: Providing general administrative support to program staff and instructors.

Knowledge, Skills and Abilities

  • Ability to read, write, and communicate at a level consistent with the requirements of this position and comfortable working with the public.
  • Is able to communicate effectively electronically
  • Must be able to make good decisions and meet deadlines.
  • Excellent communication skills; verbal and written; holds self to a high level of quality.
  • Must be self-motivated and enthusiastic to obtain personal and company goals.
  • Ability to stay organized to easily retrieve information and documents as needed.
  • Knowledge of Microsoft Office products; Word, Excel.
  • Ability to exercise independent judgment to plan, prioritize and organize diversified workload and recommend changes in office practices and procedures.

Experience and Training

  • High school diploma or equivalent is required.
  • Proficient with MS Office including Word, and Excel
  • Must maintain industry standard training according to company policies.
