Job description

Responsibilities

  • Provides timely, accurate and efficient administrative support to Director and Senior Team members as required.
  • Requires a high degree of discretion, tact, and diplomacy in dealing with senior internal and external contacts as well as protecting from disclosure highly confidential and sensitive information.
  • Assists in the preparation and/or revisions of sometimes highly confidential correspondence, contracts, policies and procedures, presentations, contact lists and more sophisticated documents.
  • Organizes schedules and coordinates meetings, appointments, travel arrangements, and various other functions as requested.
  • Supports effective day to day operations by maintaining an organized, standardized, and well-planned filing system to ensure that files and information therein are easily accessible.
  • Assists in the development and reporting duties to an executive. Same as bullet one.
  • Communicates and works with all members of the department and extended team by taking a team approach to problems and their solutions.
  • Handle and distribute incoming and outgoing correspondence, facsimiles, mail, and couriers.
  • Other duties and support functions as assigned.

Required Qualifications

  • At least three years of administrative experience in a corporate environment.
  • Post secondary education
  • Excellent proof reading and editing skills.
  • Ability to work independently on demanding workloads and meet tight deadlines.
  • Must be able to adapt quickly, multitask, prioritize effectively and have a high degree of common sense and business sense.
  • Must possess initiative, sound judgment, respect for confidentiality, and strong organization and time management skills.
  • Exceptional interpersonal, communication (written and verbal) and people skills are required.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.) and other platforms such as Adobe, Teams, Calendly, and Zoom.
  • Able to quickly learn other information management systems and assist staff in the department with basic technology issues.
  • Any type of previous experience in a sales, marking, or financial background is considered and asset.
