Parish Receptionist (Part-Time )

St. Mary Cathedral Catholic Parish in Miami, Florida, is hiring for a part-time Parish Receptionist. To serve as the first-point-of-contact for callers and visitors to the parish, while upholding access protocols. The ideal candidate is an ambassador for the Church, presenting a positive, welcoming, and hospitable disposition while assisting multiple callers and/or visitors at the same time. The receptionist will be responsible for providing customer service for general inquires and visitors to the parish, including parishioners, members of the clergy, Religious, school students and their families, volunteers, members of the community, vendors, and service providers. S/he will also be responsible for operating the main switchboard and greeting callers, assessing their needs, and directing them to the appropriate parties. This employee assists in other clerical and/or administrative tasks of the office, including correspondence, parish and sacramental records, and Mass intentions; and performs all duties and responsibilities in alignment with the mission, vision and values of the Catholic Archdiocese of Miami.
Schedule: 18 hours per week, Monday - Friday 1:00 to 4:00 pm; Saturday 9:00 am to 12:00 pm
Responsibilities include:
  • Provide professional and welcoming customer service by telephone, email, and in person; assess needs and direct inquiries appropriately.
  • Operate the main telephone switchboard and parish office email, including receiving, screening, routing, and relaying calls, messages, and correspondence.
  • Greet visitors, monitor front-office access, and follow established safety and security procedures.
  • Provide information and referrals regarding parish programs, ministries, Masses, baptisms, weddings, funerals, and other services.
  • Receive and relay messages; prepare correspondence; and perform clerical duties including data entry, mailings, package distribution, and approved payments.
  • Coordinate with clergy and parish staff regarding funerals, weddings, special Masses, and related arrangements.
  • Record and process Mass intentions and maintain sacramental records and certificates with accuracy and confidentiality.
  • Maintain referral information for Catholic charities, community resources, and other organizations.
  • Receive, sort, and distribute incoming mail and correspondence.
  • Perform other administrative and parish-support duties as assigned.
  • Learn basic terminology and titles of personnel in the Roman Catholic Church, especially in relation to hierarchical structure, in order to effectively relay messages and policies.
  • Assist with Parish office tasks assigned with confidentiality and discretion, demonstrating excellent internal and external customer service.
  • Other duties as assigned.
Qualifications:
  • High School diploma or equivalent and experience in customer service, reception or a public-facing role required.
  • Two years of office, administrative, or receptionist experience preferred.
  • Roman Catholic parish, non-profit, or faith-based experience preferred.
  • Strong oral and written English communication skills.
  • Spanish and/or Haitian Creole strongly preferred,
  • Ability to communicate courteously and effectively with diverse individual.
  • Working knowledge of Catholic terminology and parish life preferred.
  • Excellent customer-service, interpersonal, organizational, and communication skills.
  • Ability to remain calm and professional in challenging situations and maintain confidentiality.
  • Strong attention to detail, spelling, grammar, and proofreading skills.
  • Proficiency in Microsoft Outlook, Word, and Excel; familiarity with Adobe Acrobat/PDF, Canva, or web-editing software is a plus.
  • Strong computer literacy and ability to learn parish systems and online applications.
  • Ability to manage multiple priorities independently while working effectively with clergy, staff, ministries, and volunteers.
  • Knowledge of basic tenets of Catholic Church, hierarchical structure and entities; Must be committed to the mission and tenets of the Roman Catholic Church.
  • Must have a professional demeanor and demonstrated ability and experience in maintaining strict confidentiality.
