Job Summary
Performs advanced clerical and administrative support for the Human Resources department, including confidential records management, employment-related processes, reporting, and departmental operations. Provides assistance to applicants, employees, and internal customers while supporting HR initiatives, events, special projects, and general office functions.
Duties and Responsibilities
  • Maintains confidential personnel and departmental records, including scanning, filing, data entry, and other recordkeeping activities.
  • Assists applicants, employees, and internal customers by providing information and directing them to appropriate HR forms, policies, resources, or personnel.
  • Prepares new hire packets and assists with new hire orientation setup and related activities.
  • Processes employment verifications and assists with responses to public records requests.
  • Tracks HR initiatives, maintains metric dashboards, and prepares reports and spreadsheets.
  • Conducts research, gathers information, and provides administrative support for special projects and ad hoc initiatives.
  • Assists with coordinating HR special events and serves as a departmental contact for event-related activities.
  • Provides administrative support, including scheduling meetings, preparing correspondence, answering and directing telephone calls, and processing departmental mail.
  • Issues replacement employee ID badges and assists internal customers with fingerprint reader-related needs.
  • Orders and maintains necessary office supplies.
  • Provides backup support for the Mail Courier and performs mailroom-related duties as needed.

Qualifications
Education
  • High school diploma or equivalent.

Experience
  • Minimum of two (2) years of clerical experience.

Key Competencies
  • Ability to type accurately at a rate of 35-45 CWPM.
  • Knowledge of business English, spelling, arithmetic, and standard office practices and procedures.
  • Proficiency in Microsoft Office Suite, including Word and Excel.
  • Knowledge of Naviline Payroll/Purchasing and Laserfiche preferred.
  • Ability to communicate effectively, both verbally and in writing.
  • Strong interpersonal skills with the ability to interact courteously and professionally with the public.
  • Ability to provide excellent customer service to internal and external customers.
  • Ability to handle and maintain confidential and sensitive information appropriately.
