Job Summary

The Receptionist serves as the primary point of contact for residents, families, visitors, staff, and external partners at Everlasting Services. This position is responsible for maintaining a welcoming, calm, and supportive front-desk environment while performing requested administrative and clerical duties. The Receptionist ensures effective communication, protects resident confidentiality, supports safety and security protocols, and contributes to the facility’s mission of providing respectful, person-centered care to individuals with traumatic brain injuries.

Essential Duties and Responsibilities

Front Desk & Communication

  • Greet residents, families, visitors, and vendors in a courteous and professional manner
  • Answer, screen, and direct incoming phone calls accurately and promptly
  • Manage visitor sign-in/sign-out procedures in accordance with facility policies
  • Provide general information about the facility while maintaining resident confidentiality
  • Communicate messages clearly and accurately to appropriate staff members

Administrative Support

  • Maintain front desk records, logs, and documentation
  • Assist with filing, data entry, copying, and other clerical tasks
  • Receive and distribute mail, packages, and deliveries
  • Maintain organized reception and waiting areas
  • Update daily activities board and make intercom announcements

Resident & Family Support

  • Interact respectfully and patiently with residents who may have cognitive, communication, or behavioral challenges
  • Assist families and visitors with directions, questions, and facility navigation
  • Notify clinical or support staff of resident needs or concerns observed at the front desk

Safety, Security & Compliance

  • Follow facility safety, emergency, and security procedures at all times
  • Monitor facility access and report concerns to appropriate personnel
  • Maintain compliance with HIPAA and all confidentiality requirements

Professional Conduct

  • Maintain a calm, supportive demeanor
  • Demonstrate empathy, professionalism, and cultural sensitivity
  • Collaborate effectively with interdisciplinary team members

Qualifications

Education & Experience

  • High school diploma or equivalent required
  • Previous receptionist, administrative, or customer service experience preferred
  • Experience in healthcare, rehabilitation, assisted living, or social services strongly preferred

  • Strong interpersonal skills with the ability to interact compassionately with diverse populations

Required Credentials

  • Current two-part TB test within the past 12 months
  • Current First Aid/CPR certification
  • Current Arizona Level 1 fingerprint clearance card
  • Current Food Handler certification
  • Willing to obtain Memory Care certification within 30 days of hire

Physical Requirements

  • Ability to sit or stand for extended periods
  • Ability to operate standard office equipment
  • Occasional lifting of light office materials (up to 15 lbs)

Work Environment

  • Healthcare or residential living facility serving individuals with traumatic brain injuries

Schedule

  • 2 days per week- Wednesday and Friday 4 PM - 8 PM, holidays included.
