POSITION OVERVIEW:

The Staff Accountant provides day-to-day transactional and administrative support to the Accounting & Finance function of Quanta Government Solutions (QGS), a federal government contractor serving the U.S. Department of Energy and other federal customers. Reporting to the Director, Accounting & Finance, this entry-level support position performs assigned accounts payable, vendor administration, invoice processing, and recordkeeping tasks under established procedures and close supervision, with work reviewed by experienced accounting staff prior to finalization. The role is structured for development: the incumbent will build foundational knowledge of government contract accounting and QGS financial systems through hands-on support of recurring accounting cycles.

What You'll Do
  • Provide accounts payable assistance, vendor management assistance, and invoice processing assistance - compiling vendor onboarding documentation including Form W-9 and remittance information, entering and updating vendor records for review and approval, matching vendor and subcontractor invoices to purchase order and receiving documentation, entering invoice coding, routing invoices for approval under the delegation of authority matrix, and tracking invoice and payment status through resolution.
  • Assist with the monthly, quarterly, and annual close by preparing assigned journal entries and account reconciliations from established templates and checklists for review and approval by senior accounting staff.
  • Compile and maintain supporting schedules and documentation for assigned general ledger accounts, including accruals, prepaid expenses, fixed assets, and intercompany balances, and identify and escalate reconciling items and variances.
  • Assist with project cost accounting by compiling labor distribution, cost transfer, and job cost coding data and preparing supporting detail for work-in-progress and contract revenue schedules.
  • Assist with customer billing preparation across cost-reimbursable, time-and-materials, and fixed-price contract types, including assembling supporting cost detail and backup documentation.
  • Compile schedules, reports, and source documentation in response to internal, external, and government audit requests, and maintain accounting records and files in accordance with QGS record retention requirements.
  • Demonstrate close attention to detail and accuracy in high-volume data entry, proficiency in Microsoft Excel, working knowledge of basic accounting principles, the ability to follow established procedures and escalate exceptions, and professional communication with vendors and internal stakeholders; maintain strict confidentiality of financial, contract, and employee information.
  • Work a regular schedule of 40 hours per week and record all hours worked daily in the QGS timekeeping system. Overtime may be required during month-end, quarter-end, and year-end close and audit periods; overtime requires advance supervisor approval and is paid in accordance with applicable law and QGS policy.
  • Perform other duties as assigned in support of the Accounting & Finance function.
