Overview

Join our dynamic law firm as a Part-Time Calendar Clerk in our Medical Malpractice department where your organizational skills and legal support experience will keep our busy practice running smoothly. This vital role involves managing deadlines dictated by medical board regulations, expert witness schedules, and complex statutes of limitations. Missing a milestone in this field can ruin a case, making strict accuracy vital. If you thrive in a fast-paced environment, excel at multitasking, and have a passion for legal administration, this opportunity is perfect for you!

This is a part-time position which requires you to be in the office during the office schedule of Mon-Fri 9am-5pm. The expectation is 20-30 hours per week, which can be a few hours each day, or longer hours on certain days. This will be discussed in the interview if you are selected.

Responsibilities

  • Maintain and update the department's legal calendar, maintaining accurate schedules for hearings, trials, depositions, and internal meetings
  • Review incoming court orders and notices to calculate and input exact response timelines
  • Coordinate with attorneys, clients, courts, and external agencies to confirm schedules and resolve conflicts
  • Arrange for court reporters, interpreters, and conference rooms, or communicate scheduling updates to opposing counsel
  • Handle confidential information with discretion while managing multiple priorities efficiently
  • Provide administrative support including phone etiquette, client communication, and organization of legal files

Experience

  • At least 1-2 years working in a law firm
  • Minimum of high school diploma; some college preferred
  • Bilingual in English and Spanish a plus

Skills

  • Proven experience in legal support roles with familiarity in law office procedures and case management systems
  • Competence tracking timelines for HIPAA authorizations and medical record subpoenas
  • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Excellent written and verbal communication skills for client interaction and internal coordination
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and legal case management systems
  • Knowledge of procedural law across various practice areas, with medical malpractice being a plus
  • Ability to handle sensitive information confidentially while maintaining high accuracy standards

The expected base salary is between $20 to $30 per hour. The range provided is the salary that our Firm believes at the time of this posting that it is willing to pay for this position. Actual compensation will be determined based on several factors, including skills, experience and qualifications. This range is provided in accordance with applicable state pay transparency laws.
