This role will assist with employee records, recruiting, onboarding, compliance tracking, HR projects, and general department support across our aviation operations.

The ideal candidate is organized, professional, flexible, and adaptable, with the ability to balance administrative accuracy with creative support tasks. This position is a great opportunity for someone who is comfortable wearing multiple hats, handling confidential information, and supporting a variety of HR and employee communication efforts in an aviation environment.

Essential Duties and Responsibilities

  • Assist with maintaining employee records in HR systems and personnel files.
  • Assist with onboarding tasks, including new hire paperwork and monitor and follow up on outstanding employee paperwork or required acknowledgments.
  • Support recruiting efforts, including posting jobs, reviewing applications, scheduling interviews, and communicating with candidates.
  • Help track required employee documents, licenses, medicals, certifications, acknowledgments, and other compliance-related items.
  • Prepare and organize HR documents, forms, letters, spreadsheets, and reports.
  • Creating flyers, recruiting materials, employee communications, and other documents.
  • Support community outreach and recruiting events as needed, including occasional attendance at job fairs, school events, career events, or other company-sponsored events.
  • Assist with HR projects, audits, policy updates, and other tasks as needed.
  • Provide general administrative support as needed across HR, Marketing, Operations, and other departments.
  • Perform other duties as assigned.

Qualifications

  • Strong attention to detail, ability to stay organized and follow-up skills.
  • Strong written and verbal communication skills.
  • Comfortable working with confidential and sensitive information.
  • Ability to communicate professionally with employees, candidates, community partners, and vendors.
  • Ability to follow instructions, ask questions when needed, and complete tasks accurately.
  • Comfortable learning and using digital tools, templates and online platforms.
  • Proficient with Microsoft Office, Outlook, Word, Excel, and general computer use. Experience with Canva or similar design tools is a plus.
  • Prior administrative experience preferred.
  • Prior HR, recruiting, office, or customer service experience is preferred.
  • Experience with HRIS systems, applicant tracking systems, or employee recordkeeping platforms is preferred.
  • Ability to work onsite and occasionally attend community or recruiting events as needed.

Work Environment

This is an onsite position working in an office environment. The role supports HR, recruiting, administrative, and some marketing-related functions for aviation-related operations. The position will involve frequent computer use, communication with employees and candidates, handling confidential employment-related information, creating written or visual content, and supporting approved company communications.

Schedule:

Monday–Friday, approximately 20 hours per week (onsite). Typical schedule is 9:00 AM–1:00 PM; however, we may be able to accommodate reasonable adjustments to the daily start and end times. Any alternate schedule must meet business needs and be mutually agreed upon before an offer of employment is extended.

Physical Requirements

  • Ability to sit or stand for extended periods of time.
  • Ability to use a computer, phone, and standard office equipment.
  • Ability to occasionally lift or carry office materials, event supplies, or materials up to 25 pounds.
