Drafting & Signing Paralegal (Estate Planning & Elder Law)

We are seeking a detail-oriented, empathetic, and highly organized Drafting & Signing Paralegal to support our Estate Planning and Elder Law practice. This role focuses on drafting estate planning documents, managing deadlines, maintaining firm forms and templates, and supporting client signing meetings, including will plans, revocable trust signings, and irrevocable trust signings.
Position Summary
The Drafting & Signing Paralegal personally and professionally supports the Firms mission by creating, managing, and maintaining drafting and word processing for estate planning matters. This includes drafting trusts, wills, health care documents, powers of attorney, deeds, and related correspondence using Firm-approved templates and processes.
The paralegal works collaboratively with attorneys and the client services team to ensure documents are accurate, prepared on time, and ready for execution. All Firm employees must maintain strict confidentiality regarding clients, Firm interests, and internal operations.
Key Responsibilities
Estate Planning Drafting & Document Production
Draft wills, revocable trusts, irrevocable trusts, powers of attorney, health care surrogate/designation documents, and deeds using Firm-approved templates and drafting systems
Prepare documents that are complete, internally consistent, and ready for attorney review
Accurately incorporate attorney edits and finalize documents efficiently
Maintain and update internal drafting templates and Firm forms as assigned
Signing Preparation & Execution Support
Prepare estate planning documents for client signing meetings, including will plans, revocable trust signings, and irrevocable trust signings
Assemble complete signing packets in correct order and format
Coordinate internally to ensure all documents are ready and correct prior to scheduled signing meetings
Attend client signings as needed and assist with document witnessing and execution logistics
Ensure all documents are properly signed and completed
Support a calm, professional, and organized signing experience for clients
Workflow, Deadlines & Systems
Calendar drafting and signing-related work to ensure deadlines are met
Enter and maintain client information, document status, and notes in the Firms systems
Follow drafting SOPs, file-naming conventions, and quality-control standards consistently
Team & Firm Culture
Participate in required firm meetings and provide status updates as requested
Complete projects and tasks assigned by attorneys within established timeframes
Uphold the Firms core values, confidentiality standards, and commitment to exceptional client service
Qualifications
35 years of experience drafting estate planning documents
Excellent attention to detail and document accuracy
Strong organizational and time-management skills
Professional, client-facing communication skills
Comfortable working in Microsoft Office and learning legal software systems
Preferred
Notary public or willingness to obtain and maintain notary status
Experience attending or supporting estate planning signing meetings
Exposure to probate or trust administration drafting helpful but not required
