Position Summary

The Logistics Specialist supports Field Service Operations by coordinating the delivery, staging, pickup, and shipment of materials, tools, and equipment required for installations, commissioning, maintenance, and emergency service activities. This role works closely with warehouse personnel to ensure accurate receipt, confirmation, and outbound processing of all field-related materials.

The position requires extensive experience using SAP to manage material orders, outbound deliveries, shipment tracking, and inventory coordination. The Logistics Specialist will utilize SAP to support field service logistics, ensure accurate documentation, and maintain visibility of material movement across projects and service operations.

Key Responsibilities

Field Service & Warehouse Coordination

  • Work directly with warehouse personnel to confirm material receipts, verify packing lists, and ensure accuracy of incoming shipments.
  • Coordinate scheduling of outbound shipments to job sites, service technicians, and third-party locations.
  • Schedule carrier pickups and manage freight arrangements (LTL, FTL, expedited, air, etc.).
  • Confirm delivery timelines and communicate status updates to Field Service and Project Management teams.
  • Resolve discrepancies between purchase orders, packing slips, and received materials.
  • Coordinate returns, repairs, and RMA processing.

Shipping & Delivery Management

  • Prepare shipping documentation including bills of lading, packing slips, and tracking records.
  • Track inbound and outbound shipments to ensure on-time delivery.
  • Expedite urgent shipments to support emergency service calls.
  • Monitor freight costs and identify opportunities to improve shipping efficiency.
  • Manage claims related to shipping damage or lost freight.

Inventory & Asset Control

  • Assist with management of field service inventory including spare parts, consumables, and specialized tools.
  • Track serialized equipment and calibrated testing instruments.
  • Coordinate with warehouse team on inventory counts and replenishment needs.
  • Ensure proper kitting and staging of materials prior to technician mobilization.

Project & Field Support

  • Review project schedules to ensure materials are available before deployment.
  • Coordinate material staging for multi-phase or multi-site projects.
  • Communicate proactively with Field Service Engineers regarding material readiness.
  • Support emergency mobilization efforts when rapid deployment is required.

Required Qualifications

  • 3+ years of logistics, warehouse coordination, or supply chain experience.
  • Experience scheduling freight and working with shipping carriers.
  • Familiarity with ERP or inventory management systems.
  • Strong organizational and communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
