The Document and Vendor Governance Specialist administers enterprise print governance processes, manages print and fulfillment vendor relationships, and ensures organizational compliance with approved print standards and workflows. This position partners with business areas to oversee document lifecycle activities, improve operational efficiency, identify cost-saving opportunities, and support enterprise print and fulfillment initiatives.

Essential Responsibilities:

  • Administer and maintain enterprise print governance processes, standards, and approval workflows.
  • Serve as the primary operational liaison for print and fulfillment vendors.
  • Monitor vendor performance, service level agreements, and contractual obligations, escalating issues as needed.
  • Coordinate annual reviews of enterprise print documents with business owners and stakeholders.
  • Evaluate and coordinate new print and fulfillment requests to ensure alignment with governance standards and operational requirements.
  • Maintain the enterprise print inventory, document catalog, and related records.
  • Coordinate document production changes, vendor implementations, and fulfillment enhancements.
  • Analyze print utilization, operational trends, and spending patterns to identify cost-saving opportunities and process improvements.
  • Develop and maintain vendor scorecards, performance metrics, and operational reporting.
  • Promote compliance with enterprise print standards and governance requirements through consultation, communication, and oversight.

Supporting Responsibilities:

  • Assist with enterprise fulfillment projects.
  • Participate in vendor onboarding, implementation, testing, and deployment activities.
  • Support operational reporting, performance monitoring, and continuous improvement initiatives.
  • Develop, maintain, and update standard operating procedures and process documentation.
  • Provide guidance and consultation to business areas regarding print governance standards and processes.
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.

SUCCESS PROFILE

Work Experience: Minimum of 3 years of experience in print operations, vendor management, document services, healthcare operations, business operations, or a related field. Experience managing vendor relationships, operational processes, workflow improvements, and cross-functional initiatives preferred.

Education, Certificates, Licenses: High school diploma or equivalent required.

Knowledge: Vendor management, supplier performance monitoring, and service level agreement (SLA) administration. Print, fulfillment, and document lifecycle operations. Enterprise governance processes, policy compliance, and workflow controls. Process improvement methodologies and operational efficiency practices. Reporting, data analysis, and performance measurement techniques. Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Teams. Project coordination, change management, and cross-functional collaboration practices. Healthcare operational workflows and regulatory requirements preferred.
