SUMMARY OF FUNCTIONS

The Dispatcher / Shipping Coordinator & Sales Inventory Assistant is responsible for coordinating daily shipping and delivery activities, communicating with drivers and customers, preparing shipping documentation, and ensuring timely and accurate order fulfillment. This position also supports inventory tracking, sales order processing, customer service, and coordination between production, shipping, and sales departments. The role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced pole mill operation.

ESSETNIAL DUTIES AND RESPONSIBILITIES:

Dispatch & Shipping Coordination

  • Schedule and coordinate outbound deliveries and incoming shipments.
  • Communicate daily with truck drivers, vendors, customers, and production staff.
  • Prepare shipping documents including bills of lading, delivery tickets, load sheets, and invoices.
  • Monitor shipment schedules and resolve transportation or delivery issues promptly.
  • Ensure loads are accurate, properly documented, and dispatched on time.
  • Maintain records of freight activity, deliveries, and transportation costs.
  • Coordinate with yard and production personnel to prioritize loads and customer orders.

Inventory & Sales Support

  • Assist with tracking pole inventory
  • Update inventory records and help perform cycle counts and physical inventories.
  • Enter customer orders, sales tickets, and purchase information into company systems.
  • Support the sales team by providing product availability, lead times, and shipment updates.
  • Assist customers by phone and email regarding orders, deliveries, and product inquiries.
  • Help maintain accurate pricing, customer records, and order status information.
  • Coordinate communication between sales, production, and shipping departments.

Administrative Duties

  • Maintain organized shipping and inventory records.
  • Ensure compliance with company safety policies and transportation regulations.
  • Assist with general office and operational support tasks as needed.
  • Generate reports related to shipping, inventory, and order fulfillment.

SKILLS AND QUALIFICATIONS

  • High school diploma or GED required; associate degree or logistics experience preferred.
  • Experience in dispatching, shipping coordination, inventory control, or customer service preferred.
  • Experience in manufacturing, forestry, lumber, or pole mill operations is a plus.
  • Strong computer skills, including Microsoft Office and inventory/shipping software.
  • Excellent communication and organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and problem-solving ability.
  • Ability to work independently and as part of a team.

Physical & Work Environment

  • Combination of office and industrial yard environment.
  • May require walking through production and loading areas.
  • Must be able to sit, stand, and use office equipment for extended periods.
  • Occasional overtime may be required based on shipping schedules and production demands.

SAFETY

  • Must be able to follow all safety rules and regulations
  • Wear all required personal protective equipment, i.e., hardhat, safety glasses, hearing protection, and reflective wear
