Job description

The Domestic Order Service Coordinator will act as a liaison between sales team and warehouse, receiving orders from field, and committing product through a CMS system. They are responsible for coordinating the logistics of perishable domestic shipments, preparing shipping documents, and maintaining records for various types of shipments.

Responsibilities and Duties
  • Assist in receiving domestic orders via company software, phone, and e-mail from domestic sales reps
  • Assist in communicating product availability per Supply Chain Management and timelines to appropriate personnel
  • Communicate to international sales for availability of inventory
  • Assist in supervising and coordinating product to the domestic sales team
  • Assist with pending orders
  • Assist in providing contract documentation or receiving approval from a manager or director
  • Assist in overseeing expedited shipments and provides approval documentation for each request
  • Coordinate domestic inventory transfers from facility to facility, facility to sales rep, and sales rep to sales rep
  • Oversee and performs status changes per order or transfer
  • Assist sales rep with changes in orders or transfers
  • Assist in creating, recording, and documenting credits
  • Assist in coordinating and documenting shipments that may have been mishandled during transit
  • Process AI certificates, IVF orders, and Trial orders
  • Create and process in house orders to be shipped to ST facilities (ST-Ohio, ST-PA, and ST Vienna)
  • Oversee and manage inventory for breeding supplies and tank supplies
  • Once order is confirmed, creates an electronic order in company software
  • Allocate available units to order and generates picking list for distribution department
  • Review pricing and provide adjustments if need be
  • Handle unique order types such as “Research, Replacement Orders, CTP, Contracts and HEB”
  • Provide overdue invoices to sales reps, provided by accounting, if customers account is on hold
  • Create new customers in company software program
  • Maintain order files, communicates changes, and responds to sales rep inquiries regarding timeline of shipment
  • Communicate when orders are ready to ship with Shipping amp; Receiving coordinator to arrange pick-up
  • Help assist in investigates into lost packages
  • Report issues to Domestic Order/Service Supervisor that are not part of the routine process flow
  • Assist as back up for other coordinator’s out of the office and take on their responsibilities
  • Assist in creating SOPs for the department
  • Assist sales reps with problems or concerns with the software program and stgen.com
  • Assist in sending out catalogs to customers
  • Assist in directing incoming phone calls to the ST main phone line
  • Communicate to their supervisor on inventory adjustments needed for the sales team’s inventory
  • Process truck orders for the sales team
  • Other duties deemed necessary
Qualifications and Skills
  • High School diploma or equivalent
  • 1+ years’ related experience
  • Ability to learn company software
  • Strong attention to detail
  • Basic math skills including addition, subtraction, multiplication, and division
