This is an exciting opportunity to join a growing manufacturer of commercial ventilation and air distribution products supporting a nationwide network of sales representatives. Our client continues to invest in modern business technologies—including NetSuite ERP, HubSpot CRM, SuiteCommerce, and AI-powered sales enablement tools—creating an environment where customer service, efficiency, and innovation go hand in hand.

The Inside Sales Coordinator plays a vital role in helping sales representatives succeed by providing responsive quote support, managing opportunities, coordinating customer interactions, and driving projects forward.

·      The ideal candidate will be highly organized, naturally curious, customer-focused, and thrive in a fast-paced environment where priorities shift and multiple projects move simultaneously.

·      Ideal experience backgrounds:  Inside Sales, Sales Support, Customer Service, Quotation Management, Project Coordination, and Distribution Sales Support.

·      Ideal industry backgrounds:  HVAC Manufacturing, HVAC Representative Firms, Industrial Manufacturing, or Commercial Building Products.

Position Overview

·      The Inside Sales Coordinator will partner with independent sales representatives throughout North America to deliver exceptional support and service.

·      This role balances high-volume quotation management with proactive opportunity follow-up and cross-functional coordination.

·      A successful Inside Sales Coordinator will be responsive, detail-oriented, consultative, and capable of managing numerous active projects without losing sight of customer needs or business objectives.

·      The Inside Sales Coordinator position is not an order entry role and is not a quota-carrying sales position. Instead, this role serves as a key contributor to revenue generation by helping representatives respond quickly, accurately, and effectively to customer opportunities.

Required Skills and Qualifications

·      Associate's Degree or Bachelor's Degree preferred. Relevant customer-facing, sales support, inside sales, quotations, project coordination, or related experience may be considered in lieu of a degree.

·      3–5 years of customer-facing experience within a manufacturing environment, supporting high-volume sales, quotations, or customer service activities, with a strong customer-first mindset.

·      Demonstrated ability to manage multiple concurrent priorities and deadlines.

·      Strong written and verbal communication skills, particularly through email correspondence.

·      Excellent attention to detail and commitment to data accuracy.

·      Customer-focused and consultative approach to problem solving.

·      Strong organizational and time management skills.

·      Comfortable working within CRM, ERP, and business software platforms.

·      Mechanical aptitude and interest in learning technical products.

Preferred Experience

·      Experience using CRM platforms such as HubSpot, Salesforce, Dynamics 365, Zoho CRM, or similar.

·      Experience working within ERP systems such as NetSuite/ SuiteCommerce, SAP, Oracle, Epicor, or similar.

·      Experience with Microsoft Outlook.

·      Experience supporting eCommerce, customer portal, or online sales environments.

·      Comfortable learning and utilizing AI-powered sales enablement and business tools.

·      Experience in HVAC, ventilation systems, building products, manufacturing, or distribution environments.

·      Experience supporting independent sales representatives or channel sales organizations.

What You’ll Do:

Support Sales Representatives and Customers

·      Serve as a primary point of contact for independent sales representatives across North America.

·      Build strong relationships through responsiveness, reliability, and product knowledge.

·      Assist with product selection, options, and standard product configurations.

·      Develop working knowledge of a diverse HVAC product portfolio.

·      Identify when more complex technical support is needed and engage technical resources appropriately.

Develop Quotations and Manage Opportunities

·      Manage a high volume of inbound quotation requests and orders with speed and accuracy.

·      Coordinate multiple active quotes and opportunities simultaneously.

·      Maintain accurate customer, project, and opportunity information within CRM and ERP systems.

·      Ensure timely communication and follow-up throughout the sales process.

Proactively Drive Business Opportunities

·      Follow up on significant open quotations and strategic opportunities.

·      Gather information regarding project status, competitive positioning, and decision timelines.

·      Initiate internal discussions when pricing, timing, or project dynamics require additional attention.

·      Utilize CRM tools and technology-driven outreach campaigns to support sales efforts.

·      Identify opportunities to recommend complementary products and additional solutions.

Coordinate Across the Business

·      Respond promptly and professionally to representative and customer inquiries.

·      Resolve routine product and order-related questions.

·      Escalate complex technical issues to appropriate subject matter experts.

·      Collaborate with Sales, Engineering, Manufacturing Engineering, Operations, and Customer Service teams.

·      Continuously reprioritize activities based on changing customer and project needs.

Compensation and Employment

The compensation for this position is $50,000 - $55,000 plus bonus, depending on experience and qualifications.
