Position Overview
The Illinois Department of Transportation is seeking to hire Documentation Assistants. The successful candidate will develop standard operating procedures (SOPs), documenting complex departmental process, and supporting procedural standardization in collaboration with subject matter experts (SMEs) throughout the department.
Essential Functions
  • Under general supervision, performs a variety of difficult and responsible clerical functions in documenting business processes and procedures for the Illinois Department of Transportation.
  • Drafts and formats standard operating procedures (SOPs) and other process documentation.
  • Reviews and refines procedural documents to align with departmental standards for clarity, consistency, and formatting.
  • Supports the Technical Writer and Senior Policy Administration Specialist in aligning SOP content with policies and manuals.
  • Maintains SharePoint libraries containing approved procedures and internal job aids.
  • Performs assignments for special projects for the Policy Administration Unit as requested.
  • Performs other duties as assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications
  • Requires knowledge, skill and mental development equivalent to completion of high school.
  • Requires one year of related office experience.
  • Requires ability to keyboard accurately at 35 words per minute.

Preferred Qualifications
  • Prefer one (1) year of experience drafting and maintaining standard operating procedures (SOPs) or technical process documentation.
  • Prefer intermediate skill in Microsoft Office Suite (Word, Visio, Excel) and SharePoint for document development and collaboration.
  • Excellent written communication and organizational skills.
  • Prefer one (1) year of experience with flowcharting, visual process mapping, or similar tools.

  • Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver's license.
