Rsum du poste:

Ladjoint(e) administratif(ive) excutif(ive) auprs de la haute direction (CSuite) fournit un soutien stratgique, sophistiqu et forte valeur ajoute lquipe de gestion (PDG, DAF, DAA, VP Programmes, VP Exploitation, VP Dveloppement des affaires). Agissant titre de partenaire de confiance et de prolongement de lquipe de direction, ce rle dpasse les fonctions administratives traditionnelles et contribue directement lefficacit des dirigeant(e)s grce une coordination stratgique, un jugement sr et une excution proactive.


Principales responsabilits:

Gestion du temps et des priorits des dirigeant(e)s

  • Grer et optimiser des calendriers excutifs complexes, en conciliant des priorits concurrentes et des fuseaux horaires multiples. Agir comme gardien(ne) stratgique afin de protger les plages de concentration cl et dassurer lalignement avec les objectifs organisationnels.

Communications stratgiques et gestion des parties prenantes

  • Grer avec rigueur et discrtion la correspondance excutive, y compris la rdaction de communications de haut niveau. Agir titre dintermdiaire cl entre les dirigeant(e)s, les membres du conseil dadministration et les parties prenantes internes et externes.

Voyages et logistique excutive

  • Planifier et coordonner des dplacements nationaux et internationaux complexes, en assurant efficacit, rentabilit et une exprience sans faille pour les dirigeant(e)s.

Soutien aux conseils dadministration et aux runions de direction

  • Coordonner les runions du conseil dadministration et de la haute direction, incluant llaboration des ordres du jour, la prparation des documents de prsentation, des prsentations excutives et le suivi des actions requises.

Soutien aux projets et aux oprations

  • Piloter et soutenir des projets spciaux au nom de lquipe de direction, effectuer le suivi des livrables, assurer la reddition de comptes et contribuer la ralisation complte des initiatives.


Qualifications requises:

Exprience

  • Minimum de 5 ans dexprience dans le soutien des cadres suprieurs au sein dun environnement complexe et en volution rapide.

Discrtion et jugement

  • Capacit dmontre grer des informations hautement confidentielles et sensibles avec professionnalisme et discernement.

Sens des affaires

  • Solide comprhension des priorits organisationnelles et des dynamiques dcisionnelles au niveau excutif.

Comptences technologiques

  • Matrise avance de la suite Microsoft Office, de Google Workspace et des outils de gestion de projets (ex. : Asana, Salesforce).

Excution proactive

  • Capacit anticiper les besoins, attnuer les risques et rsoudre les enjeux avant quils ne sintensifient.

Intelligence motionnelle

  • Aptitude tablir des relations de confiance, naviguer dans des environnements relationnels complexes et communiquer avec tact, diplomatie et influence.

Comptences linguistiques

  • Bilinguisme requis dans les deux langues officielles (franais et anglais), loral comme lcrit. Job Summary:

The Executive Administrative Assistant (EA) to the C-Suite provides sophisticated, high-impact support to the Senior Management Team (CEO, CFO, CAO, VP Programs, VP Operations, VP Business Development), operating as a trusted partner and extension of leadership. This role goes beyond traditional administrative functions, enabling executive effectiveness through strategic coordination, sound judgment, and proactive execution.


Main Responsibilities:

Executive Time & Priority Management

  • Own and optimize complex executive calendars, balancing competing priorities across multiple time zones. Act as a strategic gatekeeper to protect focus time and ensure alignment with organizational objectives.

Strategic Communication & Stakeholder Management

  • Manage executive correspondence with precision and discretion, including drafting high-level communications. Serve as a key liaison between executives, Board members, and internal/external stakeholders.

Travel & Executive Logistics

  • Plan and execute detailed domestic and international travel arrangements, ensuring efficiency, cost-effectiveness, and a seamless executive experience.

Board & Meeting Leadership Support

  • Coordinate Board and executive-level meetings, including agenda development, preparation of briefing materials, presentations, and follow-up on action items.

Project & Operational Support

  • Lead and support special projects on behalf of the executive team, tracking deliverables, ensuring accountability, and driving initiatives to completion.


Required Qualifications:

Experience

  • 5+ years supporting senior executives in a fast-paced, complex environment.

Discretion & Judgment

  • Demonstrated ability to manage highly confidential and sensitive information with professionalism.

Business Acumen

  • Strong understanding of organizational priorities and executive decision-making dynamics.

Technical Proficiency

  • Advanced skills in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Salesforce).
