Description
The Program Operations Manager for Faculty Success reports to the Executive Director for Faculty Success. This position provides logistical and budgetary leadership for all operations of the Faculty Success Center and management of Faculty Awards and Internal Grants. The work is often collaborative in nature and extends to affiliated units such as Instructional Design, Leadership Samford, and Grants and Sponsored Programs in an administrative support capacity for elements of their work that overlap with the work of the Faculty Success Center.
This is an 11-month position.
Job Duties
Executive Director for Faculty Success Support:
  • Manage all budgetary aspects of Academic Affairs Awards and Faculty Internal Grants that are housed in the Faculty Success Center (application tracking, award notifications, bookkeeping expenditures, budget management, and faculty assistance with budgetary needs)
  • Manage and execute the logistics for programs and events sponsored by the Executive Director for Faculty Success within the FSC and across campus. This includes, but is not limited to, contract facilitation if needed, coordinating with keynote speakers or guests, scheduling, registration, space reservations, catering, purchasing items, gathering materials, and occasional custodial requirements
  • Provide administrative support to affiliated units for special initiatives that fall within Faculty Success (scheduling meetings, maintaining detailed calendar, reserving rooms, arranging catering, stocking beverages/snacks)
  • Track expenditures and provide periodic budget reports to the Executive Director for Faculty Success for initiatives that fall within Faculty Success
  • Organize and maintain related files (electronic/paper) for the Executive Director
  • Assist the Executive Director for Faculty Success with tasks in iContracts, Banner, Spend Clarity, ARGOS, Ad Astra SPACES, EvE, and other campus systems
  • Perform other duties as requested by the Executive Director for Faculty Success
Faculty Success Center Support:
  • Serve as initial point of contact for faculty and visitors to the Faculty Success Center
  • Maintain the Faculty Success Center, ensuring the Center is client-ready for all meetings, workshops, retreats, and professional development sessions
  • Monitor and report to the appropriate unit needs pertaining to the Center including HVAC, repairs, and custodial issues
  • Request updates for the Faculty Success Center website
  • Retrieve and distribute mail, answer and route calls, make copies, and maintain and order supplies for Director of Instructional Design and department staff of Faculty Success
Director of Instructional Design Support:
  • Assist the Director of Instructional Design and staff with tasks in iContracts, Banner, Spend Clarity, ARGOS, Ad Astra SPACES, EvE, and other campus systems
  • Track expenditures and provide periodic budget reports to the Director of Instructional Design for initiatives and contracts related to the instructional design department
  • Assist with distributing, processing, and archiving documentation related to instructional design and faculty agreements
  • Facilitate external contract and agreement payments on behalf of the Director of Instructional Design

Qualifications
  • Have a high school diploma and minimum of five (5) years of experience in administrative assistant/office management OR a bachelor's degree and three (3) years of experience in administrative assistant/office management

  • Have mobility to make occasional deliveries to other academic offices across campus
  • Have enough physical strength to occasionally transport display boards, packages, and items for events across campus (lift up to 15 pounds as needed)
  • Be able to frequently remain in a stationary position for extended periods

  • Familiarity and experience with Samford IT systems and applications (e.g., iContracts, Banner, Spend Clarity, ARGOS, Ad Astra SPACES, EvE, and other campus systems)
  • Experience with budget management
