HAB Crew Specialist (Operations Support)

Position Summary
The HAB Crew Specialist provides administrative, clerical, and operational support to the Work Readiness Habilitation Crew Services Department. Reporting to the Hab Crew Operations Manager, this position plays a vital role in ensuring the efficient coordination of departmental operations by maintaining records, schedules, consumer curriculum documentation, and site resources. The HAB Crew Specialist supports daily program activities for both the Antelope Valley (AV) and Santa Clarita Valley (SCV) programs, assists with scheduling and communication, and helps ensure compliance with agency policies and program requirements while promoting a safe and organized work environment.
Key Responsibilities
  • Provide administrative and clerical support to the Hab Crew Operations Manager and Work Readiness Habilitation Crew Services Department.
  • Maintain and update departmental logs, reports, and tracking systems, including attendance, drills, safety documentation, and project management records.
  • Prepare, organize, and replenish required program forms, reports, and documentation for trainers and worksites.
  • Monitor and track consumer curriculum progress, maintain Individual Task Inventories, and ensure documentation is completed, signed, scanned, and filed appropriately.
  • Assist with updating Site-at-a-Glance (SAAG) documents and ensuring trainers have current site information and required safety materials.
  • Create and distribute departmental communications, including memos, reminders, and informational bulletins.
  • Serve as backup for board scheduling functions, including maintaining staff and consumer schedules, preparing daily board summaries, creating monthly calendars, and updating scheduling resources.
  • Maintain departmental filing systems and ensure accurate record retention.
  • Communicate significant operational issues, documentation needs, or program concerns to the supervisor in a timely manner.
  • Promote workplace safety by following agency safety policies and reporting hazards or incidents promptly.
  • Foster positive working relationships with staff, community partners, and business representatives through professional communication and ethical business practices.
  • Attend required meetings, trainings, and other professional development activities.
  • Perform other related duties as assigned.

Qualifications
Required Qualifications
  • High School Diploma or GED required.
  • Minimum of one (1) year of administrative, clerical, office support, or related experience.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
  • Ability to maintain accurate records and documentation with a high level of attention to detail.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Strong problem-solving skills and sound judgment.
  • Ability to adapt to changing priorities in a fast-paced environment.

Preferred Qualifications
  • Associate's degree in Business Administration, Office Administration, Human Services, or a related field.
  • Two (2) or more years of administrative support experience, preferably in a nonprofit, human services, healthcare, or social services setting.
  • Experience with scheduling, data tracking, records management, or program coordination.
  • Familiarity with services for individuals with intellectual and developmental disabilities.
  • Experience maintaining training records, curriculum documentation, or compliance-related files.
  • Knowledge of general office procedures, records retention practices, and administrative best practices.
  • Bilingual (English/Spanish) preferred but not required.
  • Demonstrated commitment to excellent customer service, teamwork, and continuous improvement.
